Job Purpose To enhance the effective management and administrative functions of the International application and registration processes for formal studies at CPUT, adhering to national and international legislative prescriptive, ensuring an effective and efficient rendering of quality service to the CPUT community.Administer and execute all application, admission and registration related duties in accordance with legislation, policies and procedure prescriptions ensuring that set timelines are always met.Training required, conduct performance appraisals, monitor and conduct adherence to disciplinary codes and University policies and any other Human Capital operational related activities.Liaise effectively with applications, prospective students, students and CPUT internal stakeholders in terms of application admission and registration enquiries and processes.Administer and maintain student records in accordance with legislation, policies and procedure prescriptions.Job Knowledge, Skills and Experience National diploma with at least 3 years' administrative experience, directly relating to the admission and registration duties and responsibilities in accordance with legislation, policies and procedure prescriptions within the Admissions and Registration Centre at CPUT.Operational knowledge of Applications, Admissions and Registration processes within the admissions and Registration Centre at CPUT.Experience with the ITS Application and Registration systems including other technical platforms used and processing of international Applications.Good understanding of international related legislative reporting requirements including Immigration regulations.Record keeping skills and Excellent communication and interpersonal skills with the focus on Customer Service.Ability to pay attention to detail and high level of accuracy, high work ethics.Key Performance Areas / Principal Accountabilities Enquiry Management Receive and respond to all international related enquiries daily either via mail, telephonically or face-to-face to all internal and external stakeholders with the focus on good Customer Services.Attend to escalated enquiries and respond the soonest. Respond immediately to escalated enquiries.Human Resource Management Supervision of contract staff during the application and registration core timelines by managing the workload distribution, leave schedules, assist with the identification of skills and training requirements, monitor and conduct adherence to disciplinary codes and University policies and any other Human Capital operational related activities.Client Service and Immigration Support Evaluate and/or pre-screening of international applications and final screening prior to registrations, issuing of study visa letters, managing and monitoring of application and registration of international applicants, advise faculties with foreign qualification structures and advise students on immigration rules and regulations.Legislative Reporting Conduct data validations, correct and submit international legislative reporting to the Department of Home Affairs.Data Management Capture, validation and correcting of international related data input and outputs ensuring accurate and quality assured data.Validate documents received, data submitted ensuring good quality of international data.Ensure that HEMIS statutory reporting validations are completed within the set timelines.Pay attention to detail when processing information.Quality assure data captured for accuracy.Document Management Ensure that all international related filing is completed in accordance to legislation, ARC document management file plan and retention schedule or any guidelines provided.Collate and file international student records on student's files on conclusion of registrations.General Office Administration Adhere to office rules.Knowledge and adherence to legislative prescriptions, rules, policies and apply correctly.Complete duties assigned by ARC Supervisor and management.Manage all international administration related functions in the ARC office.Sound interpersonal and communication, and customer service skills.Sound computer literacy skills especially MS Excel and MS Outlook, ITS Application and Registration Student Management System.Time management.Stress tolerance and ability to work under pressure.High level understanding of the International related Application processing and registration related processes.High level of accuracy and ability to pay attention to detail.Integrity and High Work ethics.General Information Closing Date: 03 November 2024
