As an Analyst - Fund Administration (Reconciliations), you will report to the Associate Director - Fund Administration (Reconciliations).The Analyst will play a critical role in the reconciliation and data management processes for a diverse range of client funds, ensuring accuracy and compliance in all deliverables. This position requires a strong analytical mindset, excellent communication skills, and the ability to work collaboratively across teams to enhance operational efficiency and client service excellence.ResponsibilitiesData Management and Process ImprovementCommunication and Client InteractionQuality AssuranceContinuous Improvement and Cross-Functional CoordinationRisk and Compliance ResponsibilitiesYour Daily TasksThe following are the tasks linked to the Core Responsibilities that will be expected as part of this role:Includes (but not limited to) the following tasks:Conduct comprehensive wholesale and fund-specific reconciliations, ensuring full reconciliation of all cash, positions, interest, and dividends against manager, broker, and other external sources.Produce the daily, weekly, and monthly reconciliation processes for hedge funds, ensuring accuracy and adherence to established procedures.Ad hoc duties that may be assigned from time to time.Data Management and Process ImprovementIncludes (but are not limited to) the following tasks:Manage data entry, monitoring, and exception clearing for trade, price, security, and corporate action data in portfolio systems.Standardize data from multiple sources into a consistent format for accurate comparison and analysis.Manage the static data, ensuring data integrity and accuracy within portfolio systems to ensure break resolution.Identify opportunities for process enhancements and automation within the reconciliation workflow to drive operational efficiency.Communication and Client InteractionIncludes (but are not limited to) the following tasks:Serve as the main point of contact for reconciliation matters, addressing queries from North and South American offices, and collaborating with NAV leaders and managers.Deliver regular reports and updates on reconciliation status, issues, and trends to stakeholders and clients as required.Work closely with clients to understand their needs and provide tailored solutions.Quality AssuranceIncludes (but are not limited to) the following tasks:Perform valuation quality assurance reviews to ensure consistent quality of output.Ensure accuracy, timeliness, and reliability of reconciliations, as well as maintaining compliance with industry standards.Continuous Improvement and Cross-Functional CoordinationIncludes (but are not limited to) the following tasks:Maintain awareness of industry, regulatory, and jurisdictional trends that could impact the business.Develop expertise in Advent Geneva Portfolio and General Ledger modules, as well as Xceptor, to enhance operational capabilities.Collaborate with operations staff, project managers, and implementation teams to ensure seamless integration of new processes and systems.Risk and Compliance ResponsibilitiesIncludes (but are not limited to) the following tasks:Ensure compliance with internal controls and external regulatory requirements, contributing to a culture of quality and operational excellence.Collaborate with the Internal Governance team to maintain compliance with change controls and internal quality assurance processes.Perform routine compliance checks and adhere to company risk and compliance processes and policies.Maintain organized records of compliance documents and reports.Provide support during internal audits and compliance reviews.Engage in learning opportunities to understand compliance principles and regulations.Additional Strategic ExpectationsShare insights to enable development of new processes and procedures that will create business efficiency and support delivery of client excellence in service.Maintain awareness of industry, regulatory, jurisdictional, and other trends that could affect the business.Collaborate cross-functionally with operations staff, business users, project, and implementation managers to achieve desired and elegant solutions.Required Skills & ExperienceBefore applying for the position, please ensure you meet the following requirements:A Bachelor's degree / Diploma in Accounting, Business Administration, Economics or Finance or similar fieldNewly Qualified Graduate1-2 years of experience in fund administration with a focus on reconciliations, preferably within the hedge fund industryAbility to communicate (high standard of speaking and writing) in English; Portuguese will be advantageousProficiency with reconciliation software and fund accounting systemsAdvanced Excel skills and familiarity with SQL or other data analysis tools
