About the job Air /Sea freight ControllerGrade 12Minimum 5 years relevant experienceComputer literacy (Advanced MS Word, PowerPoint and Excel, email access required)Valid driving licenceAble to develop new administrative systems for own department/divisionAble to manage and control administrative system in own department/divisionCan compile customer profiles and interpret usage patterns to determine needsCan make recommendations on tariffs design, service changes, product development or infrastructure changes based on consumer trends and customerAble to execute specific tasks related to customs clearance under direct supervisionUnderstand the interaction of different administrative procedures between departments in the organisationKnows how to develop streamline administrative systems for own department/divisionHas sound knowledge of market research and marketing principlesHas sound knowledge of existing services offered to which targeted customers and stays informed on developments in a changing environmentUnderstands the importance of effective packaging and warehousing methods and applicationsResponsibilities:Obtain all documentation from either the customer directly or from the Forwarding departmentContact the airlines/shipping line to confirm correct flight details before registering the fileEnsure all the documents are accurately addressed and in the correct name of the shipmentEnsure all details are accurate before submitting to SARS and are within the SARS regulationsRegister the shipment correctly before sending the file through to the entry departmentRequest all invoices from the various Air lines, shipping lines and agentsCheck cargo if hazardous and inform the driversAll 3M shipments are also to be registered to the CARS system (3M system)The file will then be taken to entries where the shipment will be cleared through customsIf the shipment is detained by port health or stopped by customs, ensure all the necessary documentation is sent to the customs official.Follow up and make sure release is obtained timeouslyOnce the shipment is released, arrange all transport to the various customersArrange for the delivery of shipmentsEnsure the PODs received are placed in the filesManage the vehicles from Truck Rental and also the transporter from the portsReport any incidents to Truck Rental management should anything ariseKeep all contracts for delivery daily and file awayEnsure the vehicle is fully utilized before hiring other vehiclesManage the drivers on a daily basisKeep the customer informed at all times of the process of the shipmentsAll shipment files must be billed immediately before deliveryAll COD customer accounts must be paid up to date before deliveryEnsure that all the customers receive their invoices and a full set of documents before the shipment is deliveredEnsure that all empty containers have been turned into the correct empty depotKeep the bond report continuously updatedArrange XDPs from the bond store and ensure the bond store receives all relevant documentationEnsure XDPs are billed within 3 days of bill of entry dateBill the cartage of the local deliveries from the bond storeEnsue all PODs are received for local deliveries from the bond store to customersSend PODs on a monthly basis to customersMaintain professional conductHandle all the filling of shipment files
