Your opportunity: Working as part of a team, the Administrative and Financial Assistant provides front line support to inquiries and administrative support at University College. The Assistant performs financial administration activities including preparation of expense reimbursements, payment of invoices, accounts payable and receivable. The Assistant also collects relevant documentation, verifies for completion and processes payroll for casual, and staff-appointed groups.
Your responsibilities will include: Acting as the first point of contact for general inquiries, distributing incoming and outgoing mail and deliveriesPreparing expense reimbursements; preparing and/or processing journal entries, preparing purchase ordersPreparing accounts payable and accounts receivable according to the University Guide to Financial ManagementVerifying that supporting documentation is attached to financial records before processing in FIS, checking that proper approvals are obtained prior to submitting for processingIdentifying and resolving individual financial discrepanciesMaintaining filing system, updating and maintaining records, performing routine data entryWriting routine documents and correspondenceCollecting supporting documentation required for payroll and/or HRIS processing; processing payrollEssential Qualifications: Advanced College Diploma (3 years) or acceptable equivalent combination of education and experience.Minimum two (2) years' relevant financial administrative experience including processing invoices and expense reimbursements or equivalent financial administration tasksDemonstrated understanding of financial administrative procedures and ability to apply guidelines and procedures to a variety of tasksDemonstrated strong organizational and administrative coordination skillsExcellent verbal and written communication skillsDemonstrated skills in providing strong front-line customer service, strong team playerStrong MS Office skills including Word, Excel, OutlookDemonstrated strong attention to detail and ability meet strict deadlinesDemonstrated ability to apply a variety of procedures and policies, ability to reconcile detailed information and respond to a variety and high volume of tasksDemonstrated ability to prioritize deadlines and to maintain a high level of accuracy, filing and record keeping skillsExcellent time management and organizational skills and ability to anticipate operational needs and to adapt to changing deadlinesAssets (Nonessential): Experience working with HRIS, FIS, or equivalent organizational systemsPayroll experience for a variety of employee groupsKnowledge of the University Guide to Financial ManagementTo be successful in this role you will be: AccountableApproachableMulti-taskerOrganizedTeam playerNote: This role is not currently eligible for a hybrid work arrangement, pursuant to University policies and guidelines, including but not limited to the University of Toronto's Alternative Work Arrangements Guideline.
