RPO Recruitment's client, a well-established construction company, is seeking an Admin Manager to join their team of professionals.
In this role, you will be responsible for overseeing the administrative functions of the organization, ensuring that operations run smoothly and efficiently.
You will play a key role in managing office resources, streamlining processes, and supporting various departments to enhance overall productivity.
Responsibilities BBBEE: Develop strategy in conjunction with stakeholders to attain desired BBBEE Compliance level.
Maintain procurement schedule.
Initiate Supplier Development Agreements and initiatives.
Regular meetings with Management to update status of BBBEE progress and advise on changes in legislation.
Propose training solutions to reach targets.
Ensure the company always has a valid BBBEE Level 1 certificate.
Learnerships:  Ensure diligent attendance by learners and review monthly progress.
Skills Development: Implement Skills Development Scorecard strategy.
Arrange site training as required by various sites.
Ensure the Plant operators have valid Operators Certificates at all time.  Renew every 2 years.  Prepare and submit Annual Training Report and Workplace Skills Plan for both LRC and LRP.  SACPCMP registration for qualified employees Institute mentorship programs with identified employees.
Insurance: Registration and administration of all insurance claims.
Applying for re-imbursements when paying upfront for losses such as windscreens.
Upkeep of insurance schedules and claims registers Site Administration and site support: Supervision and oversight of all site clerks and work produced by site clerks.
Review and posting of all site stock issues.  Liaise with financial department.
Upkeep and development of Admin Forms App.  We use this for daily submission of source documents such as Diesel, cement and oil forms as well as the real time capturing of plant and bakkie diesel consumption.
We also use this for recipients of post from sites to sign.  Site stock audits – to verify actual quantities with captured quantities as well as sampling selected plant items.
Site clerk disciplinary actions/investigations Arrange site furniture Order and dispatch PPE upon requisitions received.
Facilitate IT support for site personnel.
Plant: Draft and submit weekly Plant List.
Monitor non-reporting tracking units and arrange for repairs/replacement.
Arrange new tracker installations when new vehicles are purchased in compliance with Insurance terms.
Assist Workshop Manager with internal inquiries for plant incidents.
Monthly compilation of new traffic fines schedule and arrange payment and salary deductions with finance and payroll department.
Arrange calibration and repairs of Troxler/CPN.
Monitor digital diesel probes.
Head Office: Manage all security matters at the Head Office.  This is done in conjunction with Workshop.
Attend to maintenance of facilities.  Upkeep and maintenance of key registers and spare keys.
Archiving of all department documents.  Maintain and upkeep of digital archive for the Finance Department.
Attend to IT support.
Manage all admin stores.
Requirements Proven experience as an Admin Manager or in a similar role.
Experience working in the construction industry Bachelor's degree in Business Administration or a related field.
Strong organizational and leadership skills.
Excellent communication and interpersonal abilities.
Proficient in office management software and Microsoft Office Suite.
Ability to multitask and prioritize effectively in a fast-paced environment.
Problem-solving skills and attention to detail.
