Full job descriptionBMW Rosslyn PlantDuties & Responsibilities:· Responsible for scheduling and preparing for meetings and events hosted or attended by the team· Managing the office and the space, making it welcoming, a place of work, to collaborate and enjoying our work.· Managing company correspondence, including phone calls, emails, letters, filing and packages.· Organizing meetings, scheduling appointments and overseeing catering during company events.· Managing inventory of office supplies, including stationery and multimedia equipment to ensure smooth office operations Requirements.· Complete the travel booking(tickets, hotel etc.) and reimbursement process for each employee.· Prepare office supplies and apply for related office software for new employees.· Register, log and maintain a correct record of all office equipment and asset report· Assist HR in arranging interviews and receiving interviewees.· Assist HR in arranging attendance registering record· Implement work requirements and policies in accordance to headquarters standards· Respond enquiries from customer, staff and line manager in a timely manner· Collect all Invoice relates to office operation and be able to follow internal payment process· Keep record of contract validity for any service relates to office operation and notify line manager 3 months ahead of expiry date to ensure internal complianceDesired Experience & Qualification:· Grade 12 or higher will be beneficial· Min.
2-3 years proof track record secretarial working experience· Computer Literate, MS outlook (advance level), Word (intermediate level), Excel (Moderate level), MS teams and Zoom (intermediate)· Experience in office management and secretarial skills· Disciplined and presentable· Ability to listen understand orders· Highly Motivated, detailed, good communication· Team Player, problem solving, deadline driven· Drivers license (Essential)Job Type: Full-time
