South AfricaAbout StitchStitch is a payments infrastructure company on a mission to make it easier for enterprise businesses to connect to the financial system and build better experiences for their customers.We are expanding the team to enable Stitch to broaden our product offering and extend our geographical footprint.Note that this role is for a 6 Months Fixed Contract, with the possibility to renew or become permanent.We are looking for an organized and detail-oriented Accounts Payable Clerk to oversee all accounts payable processes, ensuring timely, accurate, and efficient handling of invoices, payments, and reconciliations. This role requires expertise in managing financial software and collaborating closely with suppliers and internal teams to streamline payment processes.Key responsibilitiesSupplier Setup and ManagementEstablish and maintain an up-to-date supplier schedule and database, ensuring accurate records are readily accessible.Manage the invoice submission process via a dedicated mailbox, promptly addressing any submission issues.Utilize Dext software for ingesting invoices; ensure Dext creates accurate bill records in Xero.Invoice Review and VerificationConduct thorough reviews of captured invoices for accuracy and completeness, checking details including:Date and due dateVAT amountAccount codeCost centreEnsure supplier statements are sent to the designated Supplier Statement tab in Dext.Reconcile invoices captured by Dext to supplier statements, resolving any discrepancies.Publishing and Payment PreparationPublish reviewed invoices to Xero as "awaiting payment" status, readying them for payment processing.Prepare bi-monthly payment schedules, managing payment cycles efficiently.Record Keeping and ReconciliationMaintain organized records of all invoices and payments, ensuring accessibility and accuracy.Reconcile bank account transactions with bills to ensure accuracy.Complete monthly accounts payable reconciliation and perform an aged payables analysis to monitor outstanding balances.Credit Card ReconciliationConduct credit card reconciliations, collaborating with employees to ensure all supporting documents are submitted.Follow up with employees for missing supporting documents, assisting in resolving unmatched items in Xero's bank reconciliation screen.Project InvolvementSupport ongoing projects aimed at improving the credit card process, including migrating to a streamlined expensing tool.RequirementsExperience in accounts payable, preferably within fintech or a fast-paced, tech-driven environment.Proficiency with accounting software, including Xero and Dext, is strongly preferred.Exceptional attention to detail and a proactive approach to managing and improving processes.Strong organizational and communication skills, with the ability to collaborate effectively with team members and suppliers.We recognise and value the importance of enabling remote work and maintaining a globally distributed workforce.
