*Hybrid work model (2 days in the office, 3 days at home)Requirements:Degree in Procurement / Logistics / Material / Supply Chain Management or relatedProfessional Qualification in CIPS or CILT or MSc in Supply Chain Management is preferred 8-10 years relevant working experience with increasing levels of responsibility and at least 3 years in a managerial role.Minimum 5 years experience in warehouse management.Supervisory experience preferred.Demand Planning Specialist who has experience with warehouse optimization, logistics and understands the basic of Inventory accounting.Summary: The Manager, Warehouse and Logistics is responsible to maintain a reliable, up to date and accurate inventory recording for the company for all inventory stored in the Warehouse and applicable locations by ensuring that physical and system inventory match at all times and any arising variances are timely investigated and corrective action instituted.Role holder must create and implement appropriate systems and procedures in warehouse management and maintain a full traceable administrative system capable of recording and filing all records and data for tasks completed.
He or she will also perform inventory control duties by receiving / releasing, inspecting, documenting, and recording all job site materials movements.The Manager, Warehouse & Logistics will be responsible for overall warehouse operations by supervising the subcontracted warehouse Service provider to ensure compliance to all processes and is expected to work closely with internal customers as well as suppliers by ensuring that the warehouse is a good customer service point.The role shall support Inventory Planning and work closely with Internal stakeholders in ensuring that inputs to MRP and associated Planning systems are done accurately and within time.Role Holder shall also train and mentor warehouse team to ensure compliance with all process, procedures and policies and ensure the security and integrity of the warehouse function is met always.Responsibilities:Manage the warehouse function efficiently and effectively to ensure optimal support is provided to the user departments mainly the Operations and Projects teams.Keep dedicated records of all pre-requisite documents / certificates / information required, in the execution of responsibilities as well as fully complying to all Company Policy and Procedures, and good business practiceExpedite all foreign orders (Imports) from the Purchase order stage through to freight forwarding and customs clearance to ensure timely delivery of ordered materials.
(avoid demurrage).Submit a weekly report on all imports / foreign purchase orders raised showing the materials ordered together with delivery timelines as well as committed expenditures to aid in forex forecast planning.Liaise with Accounts Payable team to ensure that all supplier invoices together with the necessary Customs clearing documentation for imported materials delivered are paid for within the agreed payment terms.Participate and aid the user department in the systematic evaluation of Supplier performance as well as maintain dedicated records of such events on behalf of the company.
Clear focus on delivering or achieving KPIs set out in the Signed Contract with the warehouse.
Move Order Turn Around, Receiving KPI, Cycle Count Accuracy, Warehouse Space Utilization.Submit monthly reports on Inventory turnover detailing; stock cover periods, slowing moving, redundant inventory items, etc along with recommended actions as applicableEnsure that all Inventory data in Oracle is checked for accuracy and Material distribution accounting is correct and reconciled with the Project Accountant CIP figures.
Particular attention should be focused on miscellaneous issues to non-project related transactions.Manage all Asset returns from site to warehouse and maintain an accurate database and liaise with the PMO to ensure the necessary disposal processes are followed in a timely manner.Provide relieving duties in absence of the Procurement Manager and Senior Manager, Supply Chain.Perform monthly reconciliation of the All-Inventory Value Report in the general ledger (GL) versus the Sub ledger (SL) in Oracle.Perform monthly reconciliation of the All-Inventory Value Report in the general ledger (GL) versus the Sub ledger (SL) in Oracle.Liaise with Warehouse Service Provider to performs monthly physical inventory stocktaking exercise to verify inventory counts and submit a report on the exercise.Ensure that best industry practices are maintained in the day-to-day management of the warehouse with full compliance to the EHS policy regarding the use of PPEs, etc.Coordinates receiving, documentation, storage, and shipping of materials.Manage the Warehouse Service Provider to ensure performance meets all levels required on the job.Ensure that systems and process are in place for the entire Warehouse and Inventory Management functions are adhered to and that where improvements can be made is tabled to management for review and implementation.Maintain an accurate & up-to-date shipping/receiving log (both inbound and outbound inventory).Maintain and update MRP system with a clear focus on Demand Planning for Capital Intensive Projects.Implement process & operational efficiencies year-on-year for effective inventory management and to satisfy business need.Work with relevant stakeholders to prepare material requirements plan (i.e.
demand forecasting) for the year in line with approved budget and ensure that there is always stock available to execute projects as planned.Liaise with Warehouse Service Provider to ensure there is adequate space to receive materials and coordinate with the warehousing team to manage the shipment received.Maintain an accurate & up-to-date shipping/receiving log (both inbound and outbound inventory).Report immediately about non-conforming products if delivered for immediate resolution and ensure no reoccurrence of such issues.Manage all Asset returns from site to warehouse and maintain an accurate database and liaise with the relevant user to ensure the necessary disposal processes are followed in a timely mannerSupervisory Responsibilities: Proactively identify and resolve personnel issues in conjunction with Senior Manager, Supply Chain and Human Resource.Develop and retain warehouse staff, in partnership with Warehouse Service Provider.
This includes constant up skilling on-the-job.Provide disciplined performance management for Outsourced team.Define and communicate annual goals, perform formal and informal performance reviews, and ensure changes and updates are communicated in a timely and professional manner.Create strong collaborative Outsourced team environment.Please note only shortlisted candidates will be contacted.
