Working under the direction of the Director, University Events & Assistant to the Chancellor, and under the general supervision of the Manager, University Events, the Event Coordinator plays a key implementation role as a member of the University Events team responsible for planning and executing University ceremonies and official functions.
The Coordinator will have the opportunity to support top level institutional and Presidential ceremonies, special events, and receptions. As a member of the team, the University Events Coordinator will be involved in the planning, execution and follow-up phases. The Coordinator must have the ability to multitask and meet time sensitive deadlines. Key responsibilities include compiling master guest lists, evite mail outs and correspondence, tracking RSVPs, preparing name badges, and managing registration on-site.
Qualification Required: Education: University Degree or equivalent combination of education and experience.Experience: Minimum of three (3) years progressively responsible experience in special event planning, complemented with related administrative or secretarial experience, strong organizational skills with expertise in project management and coordination preferred.Knowledge of the University's organizational structure, protocol and diplomacy a definite asset.Skills: Advance computer skills in Microsoft Office suite of programs, in particular Excel, and high proficiency with database and scheduling software.Knowledge and ability in desktop design of formal invitations.Other: Excellent written and oral communication skills.Superior interpersonal skills – flexibility, tact, perseverance, demonstrated ability to provide a high level of service.Demonstrated attention to detail and accuracy, initiative, strong time management skills, ability to exercise sound judgment in prioritizing work, and must be a team player.Closing Date: 09/18/2024, 11:59PM ET
