Travel Specialist - Groups & Group Series

Job Description Responsible for planning, pricing, and arranging travel experiences to southern Africa for travelers through international agents.
Responsibilities Evaluate client requirements including interests, needs, and budget constraints Provide timely quotes for all requested services Make reservations for requested services Acknowledge receipt of requests from agents Respond to requests and send written confirmations Organize client files according to company standards Input reservations into Tourplan system Confirm services with suppliers Maintain ongoing communication with agents regarding reservation status, payments, deadlines, and reservation terms Coordinate Meet and Greets when necessary Manage documentation for all reservations: Plan itineraries and layout Prepare travel packs for clients Issue vouchers and rooming lists Maintain filing system Ensure timely invoicing of clients for all services and provide invoices promptly Handle payments and address account inquiries Arrange tour guide services as needed Secure competitive rates with preferred suppliers Requirements Qualifications and Experience High school diploma or equivalent Preferably a qualification in Travel & Tourism Minimum of 5 years of experience working with groups and group series in the tourism sector Competencies Proficiency in analyzing detailed group costs and itineraries Familiarity with Tourplan software is advantageous Ability to negotiate availability and rates with suppliers Strong knowledge of South African and regional geography Excellent product and logistical understanding Salary Competitive salary based on relevant experience.
