TRAINING CO-ORDINATOR - Job at SA Research & Innovation management Association t/a SARIMA in Centurion SA Research & Innovation management Association t/a SARIMA TRAINING CO-ORDINATOR Centurion Permanent Full Time Published: 6 days ago Non EE/AA Easy apply Introduction The Southern African Research and Innovation Management Association (SARIMA) is an association of Research and Innovation (R&I) Management practitioners that operates at Institutional, National and International levels, as well as across the innovation value chain from research through to commercialization. The purpose of the Association is to facilitate, support and promote the development of institutional and individual capabilities in research and innovation management, as well as professionalise these disciplines for the benefit of stakeholders in Southern Africa and beyond.SARIMA requires the services of a full-time Training Coordinator to support SARIMA's training interventions. These training events may be virtual, face-to-face or hybrid and are project specific or targeted at stakeholders in the Research and Innovation Management ecosystem, primarily within the SADC region.The SARIMA office is limited to core operational and project staff members, that are primarily based in South Africa. The broader organisation is virtual, with the volunteer SARIMA Committee and SARIMA members based across South Africa and the rest of the SADC region. The Training Co-ordinator will report to the Operations Manager of SARIMA, but functions need to be performed in conjunction with the Operations and Projects Team, the SARIMA committee, Board of Directors as well as a range of stakeholders. The Training Coordinator may not serve SARIMA in any other capacity (such as a Committee Member).  Job Scope The Training Co-ordinator is responsible for supporting the organisation's overall training function. This includes developing the organisation's annual training calendar, as well as managing the course development and delivery process, by subject-matter experts, across various projects and portfolios. The role may also include short periods of travel for training events from time to time within South Africa and the SADC region, typically with up to three nights spent away.The incumbent's key responsibilities include:1. Stakeholder Engagement, Marketing and CommunicationEnsure SARIMA's training interventions are relevant and based on the needs of its members and stakeholders by regular engagement with the R&I Management community, including carrying out training needs surveys and reviewing feedback from course evaluation surveys.Work closely with SARIMA's portfolios to identify relevant training topics for the R&I management community in order to prepare and publish SARIMA's annual training calendar timeously.Work closely with portfolios and staff to identify and secure appropriate training facilitators as well as ensure that course programmes and adverts are prepared and published timeously.Work closely with the Operations Manager and Digital Communications Officer to continuously look at new and innovative ways to package and market the organisation's course offerings to reach a broader audience.Act as a central point of contact and handle all queries related to SARIMA's training interventions, as well as communication with course participants and facilitators.Manage the partnership with WITS Digital and work closely with the Operations Manager to develop and implement a marketing strategy to ensure that the suite of online short courses is a profitable revenue stream for SARIMA.2. Training Co-ordination, Delivery and ReportingCompile a checklist for each course, ensuring that all data and documentation (e.g. course registers, evaluation feedback data and reports, service level contracts, course certificates, etc.) that are required for project/SARIMA reporting purposes are in order and filed electronically. Work closely with the Digital Communications Officer to provide adequate technical support for delivery of training activities, including setting up of online registration and payment links, choosing delivery platforms, recording of training, providing training to facilitators on SARIMA's virtual delivery platforms, setting up the electronic course evaluation feedback forms and ensure that the annual training calendar is continuously updated.Ensure that all logistical arrangements are made and course certificates are prepared timeously and accurately.Prepare course evaluation feedback forms in conjunction with the relevant Project Managers and/or SARIMA portfolio members to ensure that survey questions are relevant and in line with project and/or SARIMA reporting purposes.Review and analyse survey data in order to compile course evaluation feedback reports for the portfolios.Maintain a separate electronic database of course facilitators.Work closely with the Digital Communications Officer to ensure that SARIMA's database of courses and the course material folder in the organisational repository are up-to-date and accurate.Work closely with the Operations Manager to ensure that the training coordination and delivery processes are periodically reviewed and streamlined.Ensure SARIMA's processes and policies are adhered to in terms of confidential information and personal information.3. Budgeting and Financial AdministrationWork closely with the Finance Manager to ensure course budgets, budget reconciliations and forecasts are prepared and approved timeously and accurately.Ensure that the course budgeting guidelines are reviewed and updated periodically.Ensure payments to course facilitators and other suppliers are made timeously.Ensure accurate record keeping of all course invoices, service level agreements and proof of payments for financial reconciliation purposes.Work closely with the Finance Manager to ensure that all outstanding course registration fees are followed up timeously.Ensure that SARIMA's procurement policy and processes are adhered to when procuring services of facilitators and handling logistics.Monitor registrations to ensure that minimum registration numbers are achieved (which may require additional advertising) and if not that a decision is taken in conjunction with the Project Manager and/or relevant Vice President to cancel or postpone a course, should it not prove viable.4. Course Accreditation, Quality Assurance and ImprovementCo-ordinate consultation meetings with the different portfolios, facilitators and staff to develop the course programmes and review course content for quality assurance purposes.Review and incorporate feedback from course participants into processes and systems to improve service delivery and quality of training content.Work closely with the portfolios and/or Project Managers to prepare the relevant documentation for submission to the relevant course accreditation bodies.Ensure that accredited courses and webinars (including accreditation points) are updated on the SARIMA website and other relevant platforms.From time to time, the Training Coordinator may need to undertake other duties as required within the broad scope of the role defined above and SARIMA aims and objectives, as well as work outside normal working hours where necessary to ensure that deadlines are met. REQUIREMENTS Qualifications, Experience and KnowledgeMinimum of a relevant Bachelors degree or equivalent.At least 4 years of experience as a Training Coordinator or similar role.Demonstrable experience in achieving excellent customer service and delivery standards in training and events management.Demonstrable experience in preparing course budgets and evaluation surveys, as well as analysing data and report writing.Knowledge of various virtual training platforms.Proficient in using Microsoft Office applications.Desired Skills and AttributesAbility to communicate effectively across different levels.Ability to effectively organize and manage multiple training initiatives simultaneously.Must be a problem solver, pay attention to detail and have excellent organisational and time-management skills with the ability to prioritize, multi-task and work independently as well as collaboratively as a member of a team.Ability to interact effectively and maintain positive working relationships with course facilitators and participants, suppliers, the SARIMA Committee, funders and staff.Flexible and adaptive work style with the ability to thrive in a growing, dynamic, virtual environment.Excellent written and verbal English communication skills. Ability to communicate in Portuguese and/or French would be advantageous.
