Closing date: Ongoing Location: Cape Town, Western Cape Introduction This is a crucial role for a client based in Sea Point who requires a well-groomed and spoken individual who has a minimum of two years of solid experience managing reception and administration duties supporting the smooth operations within a company.
The role is based in an office setting, with standard office hours. Occasional overtime or additional hours may be required based on business needs.
Requirements: Matric, relevant qualification advantageousPrevious experience as a receptionist or in a customer-facing role preferred, especially in property management or real estateExcellent communication and interpersonal skillsStrong organizational and multitasking abilitiesProficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (phones, printers, etc.)Ability to handle sensitive information with discretion and maintain confidentialityProfessional appearance and demeanorStrong problem-solving skills and a proactive approachAbility to work independently and as part of a teamDuties and Responsibilities: Greet and welcome visitors, clients, and tenants in a courteous and professional mannerDirect visitors to the appropriate department or personnelManage incoming phone calls, emails, and messages, ensuring timely and accurate responsesPerform general administrative tasks such as filing, data entry, and document preparationAssist in scheduling appointments and meetings for management and staffHandle mail and courier services, including sorting and distributing incoming mailAddress and resolve tenant inquiries and concerns promptly and professionallyMaintain accurate records of tenant interactions and service requestsCoordinate with maintenance and repair teams to address property issuesMaintain and update office supplies inventory, ordering replenishments as neededEnsure the reception area and meeting rooms are organizedAssist with the onboarding process for new tenants, including preparation of lease documentationUpdate and maintain purchaser and leads databasesGenerate and distribute reports as requested by managementAdhere to company policies and procedures, including confidentiality agreements and data protection regulationsEnsure compliance with health and safety regulations in the office environment
