We are seeking a PA/Resourcer/Recruiter Support to join our dynamic team and assist a high-performing recruiter. This role is perfect for someone who can adapt quickly, manage competing priorities, and deliver excellence in recruitment support.Key Responsibilities:Interview CoordinationSchedule and organize interviews with candidates and clients.Prepare interview materials, including CVs, interview questions, and schedules.Follow up with candidates and hiring managers post-interview.Assist in conducting initial candidate screening and shortlisting.Resourcing and Talent SearchSource and identify suitable candidates using job boards, LinkedIn, and recruitment databases.Build and maintain a candidate pipeline for current and future roles.Manage and update recruitment software and candidate records.Appointment and Calendar ManagementManage the Senior Recruiter's schedule, including meetings, calls, and client engagements.Coordinate appointments with clients, candidates, and vendors.Organize internal team meetings and ensure attendance.Prioritize and filter requests for the Senior Recruiter's time.Reference and Background ChecksConduct professional reference checks on shortlisted candidates.Coordinate with third-party providers for criminal verification and other background checks.Ensure compliance with company and legal guidelines for verification processes.Maintain detailed records of verification outcomes.Client and Candidate LiaisonAct as the first point of contact between the Senior Recruiter and clients or candidates.Respond to inquiries professionally and promptly.Communicate updates on recruitment processes and candidate statuses.Document Preparation and ManagementDraft contracts, offers, and correspondence for clients and candidates.Prepare presentations and reports for meetings.Maintain organized files for clients, candidates, and legal documents.Travel and Event CoordinationBook travel, accommodation, and itineraries for the Senior Recruiter and team.Plan and coordinate recruitment events, seminars, or webinars.Organize company representation at industry conferences and fairs.CRM and Systems ManagementUpdate and manage the recruitment CRM or EOR database.Ensure candidate and client records are up-to-date.Track key recruitment metrics and compile reports for the Senior Recruiter.General Administrative SupportHandle phone calls, emails, and messages on behalf of the Senior Recruiter.Assist with invoicing, expense tracking, and payroll coordination for EOR clients.Manage office supplies and vendor relations when necessary.Research and ReportingConduct market research on recruitment trends and competitor analysis.Prepare summary reports on industry updates or candidate pools.Compile weekly and monthly recruitment activity reports for the Senior Recruiter.Compliance and DocumentationVerify and file candidate documentation, including ID, qualifications, and certificates.Maintain strict confidentiality of sensitive information.Support the Senior Recruiter in maintaining legal and regulatory compliance within recruitment and EOR processes.Task PrioritizationManage ad hoc projects assigned by the Senior Recruiter.Proactively address issues, solve problems, and ensure deadlines are met.Candidate ManagementScreen applications and schedule interviews.Coordinate background checks, references, and compliance documentation.Update ATS by moving CVs through stages (e.g., Submitted > Interviewed > Hired).Document and Office ManagementDraft job descriptions, offer letters, and other recruitment-related materials.Order office supplies, manage filing systems, and maintain office confidentiality.Marketing and Social MediaAssist in creating and posting job advertisements.Manage social media accounts and engage with followers.Candidate SourcingIdentify and headhunt candidates using job boards, LinkedIn, and networking.Create and optimize compelling job advertisements.Build and maintain a talent pool for future opportunities.Skills and Competencies Required:Organizational Skills: Manage multiple tasks with exceptional attention to detail.Communication: Strong written and verbal communication abilities.Technology Proficiency: Skilled in MS Office Suite (Word, Excel, Outlook), recruitment software, ATS, and CRM systems.Time Management: Ability to meet deadlines in a dynamic environment.Interpersonal Skills: Team player with excellent stakeholder engagement.Proactive Approach: Ability to take initiative, problem-solve, and prioritize.Qualifications and Experience:Education: National Diploma or DegreeExperience: Minimum of 5 years in a recruitment or administrative role.Additional Qualifications: Knowledge of compliance and labour laws is advantageous.
