Tender Specialist

A major company, based in Pretoria, is looking for a Tender Specialist to join their team in January 2025. Purpose: The tender specialist will oversee and manage end-to-end tender process for a media corporation, ensuring compliance with corporate and client requirements. The individual will work collaboratively with internal departments to prepare competitive, comprehensive, and compliant bid submissions to secure new business opportunities. Key Responsibilities: Tender Management : Identify and evaluate tender opportunities that align with the corporations strategic goals. Manage the tender process from receipt of Request for Proposal (RFP) to submission and post-tender clarification stages. Document Preparation : Analyze tender documents, including terms and conditions, to ensure full understanding and compliance. Develop high-quality, compelling proposals by coordinating with relevant departments such as sales, finance, marketing, and operations. Prepare supporting documents, such as company profiles, project references, and compliance certificates. Coordination and Communication : Act as a central point of contact for all tender-related queries, both internally and externally. Schedule and facilitate bid strategy meetings, progress reviews, and submission deadlines. Research and Analysis : Conduct market research and competitor analysis to inform bid strategies. Track and report tender outcomes to measure effectiveness and refine future submissions. Compliance and Quality Assurance : Ensure all submissions meet the clients requirements, company policies, and legal standards. Implement quality control measures to ensure accuracy, completeness, and consistency in all submissions. Qualifications and Experience : Bachelors degree in Business Administration, Marketing, Communications, or a related field. Minimum of 3-5 years of experience in tender/bid management, preferably in the media or a related industry. Strong knowledge of tender processes and procurement principles. Proven track record of managing successful bids. Skills and Competencies : Excellent project management and organizational skills. Strong written and verbal communication skills, with the ability to articulate complex ideas clearly. High attention to detail and the ability to work under tight deadlines. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and tender management tools. Ability to collaborate across teams and build strong relationships.
