Description

The Technical Advisor assists the Dean, Associate Dean, Assistant Dean, Director of Technical Advising, Admissions, Student Records, Academic Departments, and others in a) handling all phases of student academic-life and documentation, from entrance to graduation, and b) in the oversight, interpretation, and maintenance of curricular policies, procedures, and requirements.
Examples of Duties Essential Functions: In conjunction with the Dean, Associate Dean, Assistant Dean, Academic Departments, other Service Offices, and other Colleges: Development, review, interpretation, and enforcement of curricular requirements and academic regulations; education and training for faculty, staff, and students regarding same; assisting and training faculty and staff on ERP procedures, as well as faculty and students with Self-Service resources; assist Student Records, Academic Affairs, and others with SACSCOC documentation as needed.
Work closely with Admissions on behalf of prospective campus-based and online students to evaluate and articulate incoming transferred course-work versus Loyola degree-plans, inclusive of Loyola Core, Major, Minor, Adjunct, Language, and General Elective requirements for A.A/B.A./B.S.
degrees, Minors, and Certificates; research transcripts; research courses at other institutions for use in Loyola degree-plans; disseminate College-specific information to students; work with students, Associate Dean, and Student Records to articulate Military-science credits via Joint Services Transcripts as appropriate; evaluate and post, or coordinate posting of other applicable non-Loyola credits as needed (e.g., CLEP, Credit By Examination, Advanced Placement, etc.
); work City College, Senior Online Technical Advisor, Director of Technical Advising, and Information Technology to track status of online students in order to initiate online-specific onboarding processes when appropriate.
Coordinate flow of new campus-based student data between Admissions, departmental Chairpersons, faculty, and new students; create, review, and adjust schedules of new students in conjunction with departments; assist in new student procedures leading up to and including Spring and Summer Orientation sessions; assist Student Records and the Director of Technical Advising in distribution of incoming-student information to departments (scheduling questionnaire data, under-enrollment reports, placement data); liaise with departments, Admissions, and Student Records regarding changes of Major and College, students who withdraw their deposits, etc.
; aid in review and evolution of best practices for incoming students and preparations for new academic year; aid in registrations for persisting students in all semesters; review requests for maximum credit-load registration and overloads.
Daily: Advise students, and resolve and document student issues; assist faculty-advisors, Associate Dean, Assistant Dean, Admissions, Student Records, University Honors Program, Academic Departments, Center for International Education, Student Success Center, Office of Accessible Education, and other offices with the same issues.
Case-load: Approximately 700 campus-based students plus online population.
Maintain student records including Major/double-Major dpcls and Minor tracking sheets; process faculty requests for adjustment to same; align degree-tracking software to match dpcls; process substitutions and waivers requested by faculty; process change of Majors, and addition of Minors and second Majors to student's records; create alternate dpcl scenarios to aid students in consideration of changing programs or catalog years; monitor Contract Majors as needed; coordinate dpcls and requirements with University Honors Program administrator for Honors students; re-articulate course-work for Honors students leaving the program and taking up a non-Honors program; train students and faculty in the art of degree-tracking.
Work closely and frequently with Student Records to trouble-shoot, correct, and refine programming in Colleague; serve as point of contact for translation and clarification of dpcls and tracking sheets for both degree-tracking programs; initiate contact with Departments to correct or formalize course-options for dpcls and Colleague.
Create and revise processes and documentation based on Online policies and practices; research and report student issues and escalate as appropriate; liaise with Library Learning team regarding faculty course, book, and syllabi issues; initiate and assist in student retention activities and outreach; process students for the CIS program.
Review proposed study-abroad course-schedules for students, as well as substitutions to same; post and articulate final credits when transcripts are released from Center for International Education.
Review student-requests for cross-enrollment and permission to take summer-courses at other schools; post and articulate credits when transcripts are received.
Monitor applications for graduation; perform degree audits for graduation-candidates (often multiple times as appropriate based on new/additional/evolving data); send detailed final-requirements information to students and faculty advisors; post audit information in online graduation application system; make final reviews of candidate files and recommend students to Dean, Associate Dean, and Assistant Dean for graduation; work closely with students to overcome obstacles for graduation; advise students for resolution of GPA complexities; evaluate students with academic difficulties for program-changes to facilitate successful exit from University.
Member of University Bulletin Team: Annually, review and update text for policies and procedures in appropriate areas including Academic Regulations, College Overview, General Studies, Undergraduate Departments, Course Descriptions (to include review of active/in-active course inventory versus web-content), Interdisciplinary Programs and Minors; Programs and Majors listings; do research on proposals approved by the College Curriculum Committee, the Standing Committee on the Loyola Core, and the University Courses and Curriculum Committee; review, research, and update dpcls and tracking sheets accordingly; circulate documents, information, and links to Departmental Chairpersons for approval; post finalized documents, course descriptions, and new material for new and existing programs; review and coordinate updates of joint program-materials with University Honors Program; respond to requests from Academic Affairs; track issues to address in next cycle, and refer policies to the Associate Deans Council for additional review and resolution.
Other related duties as assigned.
Additional Work Performed Liaise between Student Records and Academic Departments to distribute Fall, Spring, and Summer scheduling data; review data, trouble-shoot, and assist all parties as needed in course set-ups; by Term, assist Dean, Associate Dean, Assistant Dean, Director of Technical Advising, Senior Online Technical Advisor, and Student Records.
Serve as direct advisor to students who are transitioned to the CAS B.A.
Contract Major in Humanities and Social Sciences (includes work-up of existing program and circumstances, consultation with students, change of major, re-articulation of course-work, and registration-clearance for all of the students remaining semesters).
Coordinate Dual-Diploma students with other Colleges.
Provide support to the Dean, Associate Dean, Assistant Dean, Co-Advisor, Director of Teacher Certification, Departments, Service Offices, CIE, and others as needed/appropriate.
Special Projects: Initiate and project-manage special projects as needed; supervise student assistants for the same as appropriate.
Typical Qualifications Essential Qualifications Bachelor's Degree Excellent written and verbal communication skills; must also have strong computer knowledge and experience Excellent organizational skills; a strong ability to prioritize and re-prioritize; work autonomously and proactively; ability to both anticipate issues, as well as follow-through on final details and follow-up Must have a diplomatic and congenial manner; ability to establish and maintain successful working relationships with administration, staff, faculty, students and general public; must be able to work well under pressure Flexibility and creative problem-solving; project management skills; ability to multitask Informed use of judgment and discretion Preferred Qualifications Minimum 2 years of administrative support experience for Technical Advisor position, Minimum 5 years of administrative support experience for Senior Technical Advisor Previous administrative experience in a higher education setting strongly preferred Knowledge of University environment; familiarity with academic terms and operations PHYSICAL REQUIREMENTS: Ability to perform the essential functions of the position with or without reasonable accommodations.
