Description
As a member of the University Advancement team, the Special Events Manager will organize stewardship and donor events and select alumni engagement events - including commencement.
This position is also the key support for the Special Events Advisor with event logistics coordination and backup leadership at events, playing an active role to ensure the smooth functioning of the numerous and varied advancement events.
Examples of Duties Work in partnership with the Special Events Manager to plan, coordinate, execute, and review new and recurring special events for alumni engagement and stewardship.
Research, propose, and secure venues for functions.
Suggest creative and cost conscious event production elements.
Create event collateral materials including signage and other print materials.
Maintain and periodically review advancement event supply inventory.
Serve on the Commencement Committee.
Provide logistical planning support for all commencement events.
Maintain an informative and up-to-date commencement website.
Monitor commencement email account and reply to queries.
Produce one Commencement FAQ Webinar in the Spring.
Work with various departments to book campus spaces for advancement events.
Compile and submit monthly advancement campus parking and police detail requests to Loyola's Office of Public Safety.
Submit facility services job requests for event-related activities (e.g.
custodial services, electrical support).
Consult with other university departments on their events, when requested and reasonable, given advancement work load.
Work evenings and weekends as required.
Additional responsibilities Occasional travel for professional development.
Other duties as assigned.
Typical Qualifications Essential Qualifications Minimum of three years of previous professional level work in event planning, preferably in an educational, nonprofit, or hospitality industry setting.
Strong organizational abilities and interpersonal skills.
Excellent verbal and written communications skills.
Preferred Qualifications Bachelor's degree.
Experience with Google suite software (Mail, Docs, Sheets, Forms).
Working knowledge of virtual event platforms to manage virtual events and meetings, including setting up events, running video content and polls, monitoring live chats.
An understanding of Ignatian spirituality, and the characteristics of Catholic and Jesuit education.
