Medipost Pharmacy is looking for a professional self-driven individual to join their exciting QA Department in the capacity of a SOP Officer. The successful individual will be placed in Gezina (Pretoria).
PRIMARY PURPOSE OF THE JOB Responsible for compilation of Medipost Holdings SOPs (Standard Operating Procedures) and SOP training manuals. Preparation, orientation and facilitation of compilation and review of company SOPs. Ensure timeous review of all Medipost Group SOPs and completion of final versions within specified timelines.
MAIN RESPONSIBILITIES: Compilation of new, ad hoc, annual revision and update of all Medipost Group departmental SOPs, SOP training manuals and other relevant documents.Arranging meetings and/or email departmental manager(s) for all Medipost Group departmental Standard Operating Procedures (SOPs) to be revised on an annual basis, including new SOPs/ad hoc SOPs within specified timelines.Participate in SOP reviews and provide constructive input on all procedures in Medipost Group or by verifying the steps in the department, to compile Standard Operating Procedures within specified timelines.Submit draft copies, with updates and comments for feedback to relevant parties. Completion of final versions within specified timelines.Administration, quality assurance and compliance of company SOPs.Submit updated copies for comment to relevant parties and QA manager. Ensure that relevant SOP training manuals are updated by prioritising work and planning to complete within timelines.Continuous feedback to QA manager as to progress on SOP compilation, feedback and challenges where applicable.Monthly process audits on Support Departments, observations captured and reports finalised; HR, Risk Prevention, Payroll, ER.Upkeep and updating of SOP indexes.Daily/current upkeep and updating of Group SOP indexes, as well as after annual revisions.Custodian of hard copy and electronic filing and to furnish SOP-related documentation to authorized requesters.Competencies (Key Behaviour Areas):Communication administrative competency.Attention to detail and problem-solving competencies.Willingness and ability to assist other departments when required by Management.Projects:Initiate, drive and successfully execute projects based on business need and organisational objectives.Compliance according to Company policies.Qualification: Diploma/Degree in Administration or Office Management / Equivalent QualificationExperience: MS Office (Extensive Excel and PowerPoint knowledge)Ideal: Experience within Medipost pharmacy and Medipost App.Excellent understanding of Medipost Groups processes and service level agreements.Business administration.Training Required: Medipost App.MS-Office.Good Pharmacy Practice.Good Wholesale Practice as well as Good Pharmacy Education.Medipost Group SOP's.Policies and Procedures for all the companies within the Medipost Group.Competencies (Key Behaviors Areas): Attention to detail and accuracy.Teamwork.Planning and organizing.Achieving results.Problem solving.Technical credibility.Change management.Specific Requirements/Other important information: Ability to prioritise large workload.Ability to maintain policy guideline within pressured situations.Ability to act independently.Ability to accept and take charge of projects allocated on short notice.Willingness to work overtime during high-pressure periods.Ability to ensure Skills Development Strategies are implemented and executed successfully.Ability to inform management regarding progress and deviations of agreed Skill Development Strategies.
