Job Title: Site AdministratorPosition OverviewWe are seeking a detail-oriented and proactive Site Administrator with strong experience in construction site administration, document control, stock control, and EDO reporting. This role entails overseeing all administrative aspects of our construction site, including materials and small equipment management documentation, stock control, and EDO reporting. The ideal candidate will possess excellent communication skills. Previous experience in a similar position, along with knowledge of company policies and standard procedures, is essential.Key ResponsibilitiesAssisting the CM and Health and Safety Manager with admin tasks on site.Materials and Small Equipment Management:Assist with processing purchase orders and maintain comprehensive records of transactions.Implement strong stock control measures to optimize inventory levels and minimize wastage.Financial AdministrationDistribute proof of payments to clients and manage financial documentation.Facilitate the procurement process.Verify Site Received Vouchers (SRVs) and ensure accuracy in financial transactions.Assist CM with managing site allowances.Documentation And Record KeepingMaintain organized records of site activities, correspondence, and daily site diaries.Establish and manage filing systems for easy retrieval of documents and information.Ensure compliance with company policies and procedures regarding documentation.Costing And ReportingAssist in preparing costing sheets using Excel spreadsheets, ensuring accuracy in calculations for petty cash purchases.Compile monthly reports on purchase orders processed, costing data, and site returns (SRVs) for the Operations Manager.Prepare accurate and timely EDO - Site (Economic Development Objectives) reports in accordance with project requirements and regulatory standards.Qualifications And SkillsAdministrative Diploma or equivalent qualification preferred.Previous experience in construction site administration, stock control, and EDO reporting.Excellent communication skills in English and Afrikaans, both verbal and written.Proficiency in MS Office suite (Excel, Word, Outlook) and other relevant software.Strong organizational and time management skills.Familiarity with company policies, quality standards, and standard operating procedures (SP 1; SP 05; SP 06; SP 09; SP 13; SP 14).Performance MetricsTimeliness and accuracy of purchase orders processed monthly.Accuracy of data in costing sheets.Adherence to filing and documentation standards.Efficiency in financial administration, stock control, and reporting processes, including EDO reporting.
