Signage Co-Ordinator

SplashOut has an exciting opportunity available for a Signage Co-Ordinator to be based in Umhlanga, Durban. The successful incumbent will co-ordinate and monitor all signage operations to achieve business daily targets. Liaise with customers on all incoming job briefs. Track the progress of all jobs and enquiries. Liaise with 3rd party service providers when needed to ensure customer satisfaction. Update the production schedule and liaise with Finance to ensure billing is done timeously.
Minimum requirements:

2 years' experience in signage or vehicle branding.

Responsibilities:
Operational:

Effective communication between all relevant internal and external stakeholders, ensuring the team is kept up to date with any delays, challenges, or changes throughout the day on the status of all jobs.
Ensure that the artwork and layout of the designs are set up correctly and as per the client approval.
Effectively communicate with all respective Signage Department both Support and Core.
Ensure production schedule is updated timeously.
Communicate customer deadlines with management daily.
Ensure sign-off process is completed.
Consolidate work tickets upon completion and communicate with the Finance Department to ensure invoices are completed timeously.
Invoice jobs upon completion via QuickEasy.
Act as a point of contact where necessary with customers to troubleshoot or present innovative ideas based on their requirements as well as deal with any queries.
Ensure that all routine data entries are captured, including but not limited to printer logs that need to be updated.
Perform quality control checks before the job is dispatched.
Manage relationships with external contractors, ensuring effective communication to ensure all work is completed timeously.
Assist with any other ad-hoc functions as required by management.

People:

Creation and maintenance of roles and job descriptions and KPIs.
Performance management of staff and disciplinary.
Enforcing an ethical, honest, transparent, and fair work environment.
Sourcing of training as and when needed for self & staff.
Formal setting up of individual staff meetings (initial meeting to layout the KPIs, quarterly tracking meeting, half-year review, and year-end review).
Adequate recognition of staff efforts.

Ethics and fraud workshops.
Recruitment and related interviews.
Induction and comfort of new team leaders.
Appropriate and fair leave planning, less than 30 days.
Monitoring of sick leave.
Approval of leave, bio time, phone usage, and smoke breaks.
Implementation of HR initiatives.
Monitoring of employee productivity.
Approving and monitoring of overtime.
Effective and appropriate communication with all team members, departments, and suppliers.

Legal agreements in place with all customers/suppliers.
Creating, maintaining, and enforcing company policies and procedures.
Ensuring that we adhere to and meet customer expectations.
Compliance with relevant laws and regulations.
Intense focus on health and safety.

Growth and new markets/products:

Customer relationship management & driving sales to customers.
Identifying new business and new products.
Development of existing business and products.
Assist with company projects.
Informing customers of new products, specials, and any company news.
Marketing current products & services to new & existing customers.
Ongoing research to ensure service and product delivery is optimized in all regions.
Determine and develop appropriate sources of supply and maintain cooperative working relationships with suppliers to stay current with trends, technology, products, and services.
Attend to all maintenance issues that may arise timeously to ensure 99.9% uptime for the machine.
