The Senior Office Manager is responsible for overseeing the daily operations of the office, ensuring a smooth workflow and efficient administrative processes.
This role involves managing office staff, coordinating with various departments, and maintaining office systems to support organizational goals.
The Senior Office Manager plays a critical role in maintaining a productive work environment and improving office efficiency within our tree nursery operation.
Key Responsibilities:   Finance & Office Administration: Bookkeeping tasks: Allocate daily banking transactions to customers, suppliers, and ledgers.
Process all purchase orders, supplier invoices and tax invoices.
Organize credit card slips and reconcile bank statements on the accounting platform.
Conduct monthly analysis of customer and supplier aging.
Ensure accurate record-keeping and data management.
Ensure timely reporting to management and consultants   Office Management: Supervise and support office staff, providing guidance and training as needed.
Develop and implement office policies and procedures to improve efficiency.
Oversee the maintenance of office facilities and equipment.
Human Resources: Manage employee records, benefits, and payroll in collaboration with the HR department.
Oversee annual ordering and branding of Personal Protective Equipment (PPE).
Lead, mentor, and manage office staff, ensuring a productive and positive work environment.
Compliance and Safety: Ensure the business operations complies with legal and regulatory requirements.
Implement health and safety policies and procedures.
Conduct regular office inspections and safety drills.
Requirements: Proven experience as an Office Manager, Administrative Manager, or similar role.
Strong organizational and leadership skills.
Excellent communication and interpersonal abilities.
Proficiency in accounting platforms, preferably OMNI.
Ability to multitask and prioritize tasks effectively.
Problem-solving skills and attention to detail.
Ability to work in a team, set strategic targets, and prioritize accuracy and neatness.
Access to a smartphone with WhatsApp.
Own transport.
Fluency in English and Afrikaans (spoken, written, and reading).

Consistency in speed and accuracy of administrative tasks.
Effective planning, scheduling, and execution of various responsibilities.
