This role is responsible for all administrative tasks at the Pebbles Project Hemel-en-Aarde Education Project. The Senior Administrator works alongside the Principal to lead effective communication, ensure functional administration and daily operations, and ensure effective implementation of organisational and project-based structures.
It will also be responsible for curriculum development and the management of the ECD centre.
Responsibilities include but are not limited to: ADMINISTRATION COORDINATIONOversee project-based administration.Manage service agreements with service providers and ensure services are rendered on time.Ensure the implementation of all laws, regulations, policies and procedures.Ensure compliance certificates remain up-to-date.Manage and implement management systems (internally and externally).Take responsibility for financial management, including but not limited to the effective management of fees, petty cash, purchasing, statements and the application of the financial policy.Manage project-based inventories.Take responsibility for learner enrolment and registration.Assist the SMT and the Programme Managers with collecting relevant and appropriate data.Perform any additional ad-hoc duties as requested by the principal, programme managers and senior management.FACILITY MANAGEMENTTake responsibility for the facility's maintenance, repairs and upkeep.Monitor the safety and cleanliness of interior and exterior areas.Oversee the maintenance of the lawn, vegetable garden, pruning trees and play areas.Ensure the water filtration and septic tank systems are serviced and working effectively.Liaise with service providers regarding sanitation requirements and bait stations.Ensure all safety protocols are implemented.Communicate all security-related matters to the service provider.Manage keys and access control to the property.Perform routine maintenance inspections.HEALTH AND SAFETYOversee Health and Safety and ensure compliance.Conduct Health and Safety inspections.Conduct regular evacuation drills, service fire extinguishers, and arrange first aid and fire training.STAFF MANAGEMENTEffectively lead a team of approximately 6 - 10 staff members (this includes junior administrator, cooks, cleaners, drivers and groundsman).Facilitate staff professional development through a consistent weekly observation and coaching cycle.Manage and support direct reports (i.e., educators and practitioners), including onboarding, managing performance and developing staff capability through mentoring and training.STAKEHOLDER ENGAGEMENTLiaise and maintain positive relationships with stakeholders (communities, staff, parents, service providers, donors, farm owners, NPO partners and government departments).FLEET AND LOGISTICS COORDINATIONManage the fleet of vehicles, including licensing and maintenance.Follow up on the weekly vehicle inspections done.Manage transport schedules for all activities and coordinate the driving schedule.Check the vehicle log sheets and report any irresponsible or concerning driving behaviour/damage.CURRICULUM DEVELOPMENTDevelop and design curriculum materials.Collaborate with Educators and Phase Heads to ensure alignment with learning objectives.Evaluate and revise curriculum materials based on feedback and assessment data.Stay updated with educational trends and best practices.Provide training and support to educators regarding the implementation of the curriculum.ECD MANAGEMENTOverall management of the ECD centre.Overall training of the ECEP practitioners.Overseeing the implementation of the ECEP programme.Overall management of discipline strategies for children.Applications close on the 30th of November 2024.
