Paarl, South Africa | Posted on 20/08/2024The primary purpose of this role is to provide essential support to the sales department, ensuring efficient operations, sales processes, and accurate data management. The Sales Assistant will play a critical role in maintaining accurate records and assisting the sales team in achieving their goals.Key Performance OutputsExecute Packing Instructions: Implement packing instructions with precision, adhering to established guidelines to maintain quality and accuracy.Support Data Management & Reporting: Assist with managing master data, generating grower reports, and resolving data-related queries efficiently.Order Processing: Collaborate with the Sales Planner and Coordinator to process opportunities and orders, ensuring data integrity and timely updates.Order Fulfillment Verification: Regularly check order fulfillment status, identifying and addressing any sales or operational issues promptly.Sales Order Creation: Work with Account Managers and Sales Planner to create and process sales orders, ensuring all requirements are met.Peak Period Support: Provide additional support during peak periods to maintain operational efficiency.Facilitate Timely Invoicing: Ensure sales orders are processed promptly for accurate and timely invoicing by the Finance Department.Manage Reallocations and New Orders: Handle order reallocations and generate new sales orders as requested.Return Authorizations: Assist in generating and processing return authorizations as per company policies.Pricing & Availability Templates: Prepare and maintain accurate pricing and availability templates to support sales and inventory management.Credit Insurance Forms: Support the completion of Credit Insurance forms and update information in Netsuite for compliance.CRM Maintenance: Ensure customer information is accurately maintained and up-to-date in the CRM system.Sales Lead Management: Capture and organize sales leads from various sources to facilitate effective follow-up.Ad Hoc Sales Support: Provide flexible support to the sales team as needed to ensure smooth operations.Credit Card Reconciliation: Perform credit card reconciliations for the sales team, ensuring accurate reporting of expenses.Feedback Reporting: Compile the "Feedback from the Field" report to inform sales strategies and improvements.Team Support: Assist the Sales Manager and team with various ad-hoc tasks to meet objectives and operational needs.RequirementsEducation/ExperienceBComm Degree/Diploma with a Marketing/Logistics/International Trade majorMinimum 1-2 years of work experience.Functional/TechnicalProficiency in using Netsuite or similar ERP systems.Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).Ability to multitask, prioritize tasks, and work independently in a fast-paced environment.Excellent communication skills; verbal and written.Excellent planning and organizational skills.Building and maintaining good relationships internally and externally.Detail and results-oriented.Ability to act with tact and discretion.
