We are looking for a Sales Administrative and Personal Assistant to streamline our sales processes, coordinate administrative tasks, and maintain seamless communication across teams.
You will be instrumental in supporting property onboarding, managing lettings administration, and ensuring operational efficiency.
Key Responsibilities 1.
Onboarding Support Facilitate the smooth transition of onboarding processes for new clients.
Coordinate with internal teams to track onboarding progress and address delays.
Collect, review, and distribute essential documentation for property listings.
Provide administrative support for quality checks, including pricing strategies and online presence.

Property Lettings Administration Assist in creating marketing materials and online advertisements for property listings.
Support the tenant vetting process, including documentation and deposits.
Audit lettings records monthly to ensure accuracy and compliance.
Coordinate property maintenance and cleaning schedules.
Provide backup support for the lettings administrator during absences.

Administrative Coordination Maintain accurate records of onboarding and lettings activities.
Prepare for and attend weekly sales management meetings, providing actionable insights.
Submit daily End-of-Day (EOD) reports and track weekly KPIs.
Manage team schedules and meeting preparations.
4.
Email and Calendar Management Inbox Management: Monitor and organize Gmail inboxes, ensuring timely responses and flagging priorities.
Draft, proofread, and send emails on behalf of the team.
Calendar Management: Maintain and update team calendars, schedule meetings, and manage conflicts.
Prepare materials or agendas and coordinate meeting logistics.

General Support & Collaboration Draft and review contracts and client-related documents.
Liaise with the marketing team to align strategies and materials.
Coordinate attendance at networking events.
Handle ad hoc administrative tasks to support the broader team.
Key Skills and Qualifications Experience Minimum 2 years in a PA, administrative, or similar role, ideally within real estate or property management.
Skills Exceptional organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office, Google Workspace, and CRM systems.
Attention to detail and a problem-solving mindset.
Discretion in handling confidential information.

Schedule Requirements Submit daily EOD reports by 3:30 PM.
Track and report KPIs weekly by Friday at 3:00 PM.
