Responsibilities
Booking all activities, transportation, and tour services provided by the quotation team. Verifying confirmations against quotes and tariffs. Ensuring timely submission of all supplier invoices for payment and sending proof of payment to relevant suppliers. Confirming services, submitting invoices for payment, and conducting timely checks. Checking availability and reserving all requested accommodation properties, following up on confirmations. Compiling a final itinerary for guests with accurate timings and reference numbers from the information provided by the quotation team. Preparing guide itinerary packs and out-of-pocket money sheets. Procuring entrance tickets for tourist activities and arranging refunds for services not rendered due to adverse weather conditions. Conducting daily checks on current files 24 hours before services take place, ensuring quality control on all bookings. Managing WhatsApp group chats for clients on tour and handling on-the-ground client communications via WhatsApp. Booking accommodations for guides/drivers during overland tours and confirming within budgetary constraints. Ensuring money sheets are accurately entered into the cash book and disbursed promptly to guides. Timely reconciliation of money sheets after tour completion, cashing in any leftover funds, and submitting the reconciliation. Cultivating positive relationships with guides and monitoring their daily operations while attending to our clients' needs. Providing advice and recommendations to enhance the guest experience whenever possible. Sourcing and securing alternatives in the event of availability challenges. Creating opportunities for additional income through secondary buying, commissions, and optional tours. Maintaining communication with guides on the ground to ensure smooth on-the-ground operations.
