Position Identification & Job Description Position Title: Regional Volunteer & Events Officer

Reports to: National Volunteer Coordinator
Location: Emmarentia, JHB
Purpose of Position The Regional Volunteer & Events Officer plays a vital role in coordinating and optimizing volunteer engagement and event management efforts within their designated region. Reporting to both the National Volunteer Coordinator and the National Events Coordinator, this position will be accountable for facilitating effective collaboration and synergy between these departments. The Regional Volunteer & Events Coordinator facilitates the seamless planning and execution of volunteer initiatives and events, positively contributing to the mission of Islamic Relief South Africa.
Key Responsibilities Coordinate volunteer recruitment efforts within the region, aligning with organizational needs and objectives.Conduct orientation sessions and provide training to new volunteers, ensuring they are equipped with the necessary knowledge and skills.Develop and implement strategies to enhance volunteer retention and motivation, recognizing their contributions and addressing their concerns.Maintain regular communication with volunteers, providing support, guidance, and updates on upcoming opportunities and events.Collaborate with the National Volunteer Coordinator to ensure consistent implementation of volunteer management policies and procedures.Event Planning and ExecutionCollaborate with the National Events Coordinator in the planning and execution of events within the region, adhering to organizational guidelines and objectives.Assist in venue selection, vendor coordination, and logistics management to ensure successful event delivery.Support the creation of event timelines, budgets, and work plans, tracking progress and ensuring tasks are completed on schedule.Assist with participant registration, engagement, and communication, ensuring a positive experience for attendees.Contribute to post-event evaluation and analysis, identifying strengths, areas for improvement, and lessons learned.Reporting & DocumentationMaintain accurate and up-to-date records of volunteer activities, event planning, and participant engagement within the region.Provide general administrative support to both the National Volunteer Coordinator and the National Events Coordinator, including scheduling meetings, preparing documents, and maintaining records.Assist in the development of standardized procedures, templates, and reports to streamline volunteer and event management processes.Prepare regular reports on volunteer engagement metrics, event attendance, and other relevant data for review by the National Volunteer Coordinator and National Events Coordinator.Support the coordination of meetings, workshops, and training sessions related to volunteer engagement and event management.Cross-Department CoordinationServe as the primary liaison between the volunteer and events departments, facilitating effective communication, collaboration, and knowledge sharing.Participate in regular meetings with the National Volunteer Coordinator and National Events Coordinator to provide updates, share insights, and seek guidance.Collaborate with the National Volunteer Coordinator to align volunteer initiatives with upcoming events and vice versa, maximizing opportunities for engagement.Share regional experiences, challenges, and success stories to foster a culture of learning and continuous improvement across the organization.Support to Other DepartmentsCollaborate with the Fund Development, Programmes, Communications, and Administration Departments to identify volunteer needs and opportunities for support.Work closely with regional department heads and staff to understand their requirements and develop volunteer roles and assignments accordingly.Recruit, train, and assign volunteers to projects and tasks requested by other departments, ensuring their availability as and when required.Provide ongoing support and guidance to volunteers working in other departments, serving as a point of contact for questions or concerns.Regularly communicate with department heads to assess the effectiveness of volunteer support and make adjustments as necessary.Key Interfaces: National Volunteer CoordinatorNational Events & Challenges CoordinatorQualification & Skill Requirements: Formal qualification in a relevant field or equivalent experience is preferred.Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.Strong interpersonal and communication skills, both written and verbal.Detail-oriented with good problem-solving and decision-making abilities.Proficient in Microsoft Office suite (Word, Excel, PowerPoint)Familiarity with online and social media platforms is desirable.Knowledge of the charity and humanitarian sector.Deep alignment with Islamic Relief's mission and values.Fluency in English and at least one additional indigenous language is required.Proficiency in additional languages relevant to the region is desirable.Key Islamic Relief Qualities Required Excellence (Ihsan): Our actions in tackling poverty are marked by excellence in our operations and conduct which are deserving of the people we serve.Sincerity (Ikhlas): In responding to poverty and suffering our efforts are driven by sincerity to God and the need to fulfil our obligations to humanity.Social Justice (Adl): Our work is founded on enabling people and institutions to fulfil the rights of the poor and vulnerable.
