MAIN PURPOSE Answering of the switchboard and directing calls to correct the department or person.RESPONSIBILITIESGeneral Data capturing- capture invoices that were invoiced the previous day from dispatch.Filling of invoices- done daily.Collection of PODS'- once a week from sales counter to send all POD'S, record all POD'S on system.Messages- make sure all messages are given correctly and a record is kept e-mail relevant person.POD'S or invoices requested must be recorded in a book and signed for by that person requesting them (copies should be made and original back in the file).Pull out all POD'S, stamp to certify that they are correct and sign.Telkom & Switchboard fault reporting- when there is a fault on one of the telephone line's report it by sending an e-mail or phone IT department at Head office.Assisting with POD's when requested by different departments.Ensuring filing is done correctly as per auditors requests.Assist with arranging couriers to collect envelopes that needs to be sent to HO.Assisting by receiving the public in a professional and friendly manner at counter.Attending to any and all ad-hoc duties required by management.COMMUNICATE AND COMMUNICATE SOME MORE KEY PERFORMANCE INDICATORS (KPI)• Answering the switchboard 100% of the time.• 100% Filing accuracy and tidiness • Ensuring that invoices are received every day from dispatch and captured on system daily.EDUCATION, TRAINING, SKILLS AND EXPERIENCE REQUIREDMinimum Qualification: Matric/ Grade 12Tertiary Qualification: Will be advantageousOther;Good English, written and spokenTrustworthyCandidate must be very organized and able to prioritize tasksAbility to perform duties and deliberate speed and accuracy without immediate and constant supervisionCandidate must be friendly, personable and able to build harmonious working relationships with clients, co-workers and general publicAbility to exercise good judgment in recognizing scope of authority and protecting confidential informationComputer literacy
