The ideal candidate will be the first point of contact for the company, providing administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.Purpose of the Job:Reception forms the frontline of the organisation and is responsible for the companies first impression, managing the switchboard and conveying information to internal and external stakeholders.Responsibilities:Answer and direct calls in a polite and friendly manner.Receive messages and revert to appropriate personnel timeously via email.Welcome visitors to the organisation, determine their needs and direct them accordingly.Perform administration and in-house office duties as requested.Ensure cleanliness and neat appearance of reception area and meeting rooms.Manage boardroom and meeting room bookings.Prepare interview rooms and necessary refreshments for guests.Track and update staff information i.e. contact list, birthday list etc.Send out employee birthday emails.Schedule meetings and appointments when required.Courier send and receive parcels, tracking parcels.Ordering and distributing stationery and office supplies.Serve as contact for building maintenance.General administration.Recycling of paper.Weekly employee reports.Drafting contracts of employment.Employee filing (electronic and physical files).Training coordinate health and safety training and filing.Confirmation of employment and certificate of service letters.Employee benefits processing and administering funeral, risk and pension claims.Payroll Administration.Monitor biometric clockings.Bi-weekly leave management and reports.Requesting and sending UI-19s and salary schedules to employees.Payroll documents for new engagements, promotions, terminations, etc.Qualifications, skills, and experience:Matric.Administration qualification.2+ years relevant experience.Resides in or around Centurion.Excellent communication skills (verbal and written).Essential Skills:Resilient.Professional.Excellent timekeeping.Excellent interpersonal skills.Display effective conflict handling skills.Proficiency in written and spoken English.Tech savvy in Microsoft package (Email, Word, Excel).The ability to work under pressure and to tight deadlines.Administrative orientation with a high level of attention to detail.
