Icebolethu Group is currently in search of a suitable candidate to take up the position of Receptionist based at number 387 Surrey Avenue, Ferndale, Randburg – Johannesburg Office. The successful person will play a crucial role as the face of the office, they will be responsible for welcoming clients and guests, managing incoming and outgoing calls, and where applicable performing various administrative duties. They will also assist with HR administrative tasks and oversee the efficient ordering and dispatching of office supplies across the organization.
Qualifications, Experience & CompetenciesMinimum QualificationsGrade 12.Qualification in Customer Service and/or Office Administration is advantageous.Experience and Knowledge RequiredProven experience as a receptionist or in a similar customer-facing role.Excellent verbal and written communication skills.Professional demeanor with strong customer service orientation.Highly organized with a keen eye for detail.Ability to multitask and adapt to changing priorities.Familiarity with HR administrative processes is desirable.Proficiency in basic computer applications and office equipment.Ability to work well under pressure and handle challenging situations with tact.Strong problem-solving skills and ability to collaborate effectively with cross-functional teams.Skills Required for the Position: Front Desk Operations
Professionally greet and welcome visitors, clients, and guests.Maintain a warm and friendly atmosphere in the reception area.Coordinate and direct phone calls to the appropriate staff members.Take messages accurately and relay them promptly to the intended recipients.Maintain a neat and well-organized front desk area.Company/Employee Directory/Contact Management
Maintain an up-to-date Company/Employee directory/contact list, including office locations and relevant contact persons.Regularly update and distribute the contact list to relevant stakeholders.Coordinate with HR to ensure accuracy and completeness of employee information.Warehouse and Mortuary Coordination:
Ensure coordination with different warehouses and mortuaries, including FSP (Funeral Service Provider) branches.Communicate effectively with these locations to facilitate efficient operations.Provide necessary administrative support for smooth coordination.Administrative Support:
Provide ad-hoc administrative task support to Memorials, Business Development, and Call Center as and when required.Support Business in areas such as scheduling interviews, booking of Boardrooms, and coordinating employee engagement activities.Stationery Management:
Oversee the ordering and dispatching of stationery for relevant Departments across Icebolethu Group.Maintain appropriate stock levels and ensure timely delivery to various departments.Coordinate with different teams to gather stationery requirements and provide relevant support in managing stationery expenses.Applications and Closing Date: NB: Applicants who have not clarified the position or reference number on the SUBJECT LINE will not be considered.
