IntroductionCity Logistics is currently recruiting for an experienced Receptionist to join their team. To manage our front desk, provide excellent customer service and be the first point of contact for visitors and clients, ensuring a welcoming environment and efficient office operations.
ResponsibilitiesFront Desk Operations: Greet and welcome guests, ensuring a positive first impression, offer refreshments.Answer and direct incoming phone calls.Respond to emails and inquiries promptly.Manage the info@citylogistics e-mail address and forward mail accordingly.Address any visitor or staff inquiries with professionalism.Provide general information to clients, visitors, and staff.Administrative Support: Maintain a tidy and organized reception area.Schedule and coordinate meetings, appointments, and conference rooms.Manage and distribute incoming and outgoing mail and packages.File and retrieve documents as needed.Send out general e-mails as requested to all staff.Travel Coordination: Book flights, accommodation, and car hire for staff and clients.Ensure accurate travel details are communicated and updated.Manage travel itineraries and resolve any travel issues.Recon the travel invoicing monthly.Attend suppliers site inspection to ensure proper protocols for travelers.Security and Access Control: Monitor and manage building access for visitors.Ensure security protocols are followed in granting access.Other Duties: Assist with ad-hoc tasks and projects needed by the management team.Minimum RequirementsMatric / Grade 12.Proficient in Microsoft Office Suite and booking software.Excellent administrative and organizational skills.Ability to multitask and prioritize effectively in a fast-paced environment.Reliable transport.Respect and Care: Always show respect, care for and treat everyone fairly, put people first.Integrity and Loyalty: Display loyalty, display integrity, do the right thing always!Can Do: Must have a can-do attitude, believe in yourself, and live out our values always.Continuous Improvement: Must be dedicated to continuous improvement, be innovative and constantly learning to keep ahead.
