Overview
To provide customer service support verbally and written, including query handling and resolution, tracking and general admin related functions.
Main accountabilities include:
• Report to Product Manager.
• Receive queries and requests from clients via telephone, e-mail or Live Chat, relating quotes and bookings and respond in a courteous, friendly and helpful manner.
• Quote clients accordingly with the correct information received from the client.
• Action client requests by booking cargo on our quick 2 ship website depending on details of the cargo supplied by the client. Any variations in terms of the rates for service discussed or correspondence with the client MUST be in writing via e-mail and placed in the file.
• Assist customers via telephone, e-mail and Live chat with queries and resolutions. This includes liaising with the relevant integrators on behalf of the customers.
• Daily tracking/rebooking's of missed collections and monitoring thereof.
• For each booking/shipment all correspondence must be kept, and the booking must be recorded into excel spreadsheet.
• The booking confirmation must be e-mailed to the client for each booking made
and ensure that the client labels cargo accordingly with the correct information.
• Invoicing clients accordingly to the correct invoicing party, ROE and accurate
surcharges.
• Ensure you comply to Security and Safety work regulations.
• Support management in undertaking the protective and preventative measures necessary to achieve compliance with safety and security.
• Ensure that items of Company or Customer property and equipment are properly maintained and protected. Immediately report any damage, fault or irregularity to your line manager.
• Work diligently to complete the day's work within normal working hours
• As an employee of a Regulated Agent (RA) you are required to conduct all security procedures and processes as set forth in the AMI Air Cargo Security program, and the SACAA Part 108.
• Ensure you comply with Security and Safety work regulations.
• Support management in undertaking the protective and preventative measures necessary to achieve compliance with safety and security.
• Your manager may give you work instructions which does not form part of your main job description which you will need to undertake. The work instruction shall be reasonable and fair and given an acceptable time to complete. If the instruction is found to be unreasonable the employee must make this known the manager for resolution. If a resolution is not found the General Manager may be approached in this regard.
• Weekend shifts will be worked according to roster the is set up by the manager.
• The week before your weekend working will be considered your late shift week and you must be available to work overtime if necessary.
