Our fast-paced, ever-growing company requires a Property Portfolio Assistant to join our dynamic team. This position reports to the Property Portfolio Manager and will assist the Property Portfolio Manager with her duties. KEY DUTIES ADMINISTRATION Manage the office stationery, consumables and inventory. Arrange the printing, posting or courier of documents. Assisting with stakeholder queries. Assisting the Property Portfolio Manager in respect of any work or function to be undertaken on behalf of the Body Corporate by outside contractors or service providers. Other admin functions as required from time to time. SECRETARIAL Attending to agendas, proxies, voting slips, nominations, drafting and typing of meeting minutes. Levy Increase letter to be distributed to owners within 14 days of AGM AGM notices distributed within regulatory timelines Client requests and queries to be addressed within 2 days of receipt thereof. Storing and Maintaining: Minutes of meetings and minute books Resolutions Attendance registers Register of members, sectional title bond holders and attendance register Participation Quota of each member Conduct and Management rules Insurance policies Permanent relevant records of the Body Corporate / HOA Employee records Preparing and dispatching of all notices to members of the Body Corporate / HOA. Compilation, typing and distribution of circulars and/or newsletters (as collated by trustees). Adherence, compliance and ensure up to date with all Regulatory rules and regulations as well as conduct and management rules. MINIMUM REQUIREMENTS Matric Previous experience in any of the above duties will be to the candidates advantage. Reliable Transport VALUES & BEHAVIOURAL REQUIREMENTS Positive & Can-Do Attitude.
