2.2 year`s working experience as a project coordinator preferable with logistics/construction experience
3.Valid South African Driver's License
4.Proficient in Microsoft Office, Excel, Word and Outlook.
5.Display good organizational skills, implement management techniques to control allocated resources.
6.Good people management and leadership skills demonstrating interpersonal and communication skills, with the ability to manage people, conflict resolution and negotiation tactics.
7.The ability to work well under pressure, outside the box thinking and make situational decisions in line with company interests
Scope Advantages: Able to work on Microsoft Project, Visio and AutoCAD.Project Management National Certificate (NQF Level 5), or higherRisk management courses, HIRA, legal liability training.Fleet management or financial management expertise or training.Experience in booking and arranging VISA's and international travel logistics.Job Summary: Maintaining and monitoring Project Plans, schedules, work hours, budgets and expenditure throughout projects. Ensuring projects adhere to frameworks and all documentation is maintained appropriately for each project by, controlling project resources and other operational requirements.
Core Functions
1.Manage, control and supply human and fleet resources for all projects within a realistic time frame, and within budget.
a)Update and circulate the Resource Planner and communicate changes as and when required, to the relevant staff members.
b)Plan resources according to skill, experience and team dynamics, based on the project requirements and deliverables.
c)Manage vehicle requirements on projects by, updating bookings, managing services, renewing of license discs, legal requirements and cost management.
d)Monitor tracking systems on fleet vehicles and highlight variances to management.
e)Facilitate insurance claims, follow up on vehicle payments and installation of tracking units.
f)Compile monthly record of traffic fines and send list to relevant departments for processing.
2.Provide a logistics function, to projects by controlling, managing and performing task related outcomes
a)Work with Project Manager in coordinating and planning projects according to customer requirements.
b)Confirm travelling arrangements, by booking flights, both domestic and international, busses and alternative transport methods, and communicating itineraries to individuals, within the required budget.
c)Facilitating VISA applications, arranging requirements to complete the applications and finalizing any documentation needed.
d)Booking of accommodations on a domestic and international level, for site staff as and when required.
e)Control accommodation suppliers, including cost management, authorize invoices and deal with queries around accommodation and travel.
f)Provide an invoicing forecast to Finance with regards to accommodation and fleet bookings, on a periodic basis.
g)Confirm LOA requirements each week to Finance and approved payment as per planned projects.
h)Assist with project management, control and the supply of materials, equipment and spares needed for each assigned project.
i)Escalate projects issues, to management and assist with the logistical resolutions thereof, as required.
j)Assist with queries during payroll.
k)Review and approve recons, expense claims and petty cash requests and approve according to the budget requirements and project needs.
l)Maintain communication with project stakeholders during projects.
3.Project Administration with regards to Management of Prontoforms Application by creating new documents, compiling and adjusting current documents to suit project needs and maintaining the document data base
a)Creating new working documents on Prontoforms to produce outputs and deliverables based on the project scopes and requirements.
b)Administering changes to current working documents to compensate for changes in scope, outputs and project needs.
c)Performing maintenance and updated on Prontoforms interface for new and existing users.
d)Conduct regular maintenance and updates of Prontoforms systems.
4.Provide supporting administrative functions to project quality, by capturing project progress through receiving, storing, and monitoring the influx of documents, capturing of data.
a)Review, Monitoring and Save work reports, time sheets and diaries are submitted within the required project parameters and are received, based on the work requirements.
b)Reviewing, preparing and storing all Prontoforms submissions on the Obelisk Server for easy verification and auditing.
c)Reviewing the quality and precision of the data in the work reports, administering changes to match the required standards and submitting for to the Project Manager.
d)Creating and capturing the progress of the site teams on the progression charts, daily reports and other corresponding documentation and providing feasible data to project managers with estimated lead times.
e)Liaising with site teams to correct and amend reports as required.
f)Compiling and providing project data to HR and Finance for payroll purposes.
g)Assist with logistics for training and medicals and other operational schedule requirements, as requested
h)Reviewing the compliance requirements for reports within the service line.
i)Assist with all project coordinator functions for all division with the company as and when needed, as per the above.
5.Perform ad-hoc duties from time to time, as requested.
