Project Coordinator Job DescriptionThe Project Coordinator is primarily responsible for the accurate and efficient delivery of project administration duties, including assisting the project management team with coordination of resources, equipment, meetings, and information. The Project Coordinator will help contribute to the project organization with the goal of projects being completed on time, within budget, and to the quality standards of Viadex.Duties & ResponsibilitiesMonitors project progress and creates project status reports for stakeholders.Successfully manages tasks to completion and within deadlines as per project requirements.Maintains process and project information pages.Performs tasks regarding due diligence and policy requirements accurately and to completion.Assists with project reporting as required.Records project risks and escalates them to the project manager for mitigation.Ensures that SharePoint sites, Autotask, and Microsoft Teams are accurately set up, curated, and maintained for new and existing projects.Successfully loads electronic data relating to projects to SharePoint sites and Microsoft Teams.Books project resources timely, ensuring diary availability, and follows up with resources to ensure awareness of assignments.Ensures all resources for the project have the correct and relevant information to carry out project delivery.Mitigates and escalates resourcing problems when required.Schedules and prepares agendas for Internal and External Project Kick-off meetings.Accurately sets up, curates, and maintains project documentation, compliance documentation, and health & safety for new and existing projects.Provides input into the development of preventative measures and documents issue resolution procedures.Maintains and reconciles project control documents accurately.Contributes to the development of relevant document templates for project control.Maintains awareness of order progress through to delivery, keeping customers updated throughout.Interacts with customers in a courteous and professional manner.Provides regular updates to customers on projects.Liaises with customers for information needed.Schedules customer project progress meetings.Curates, manages, and sends out Project on a Page (PoaP) weekly to all customers with existing projects.Coordinates and communicates with 3rd parties.Desired Experience & QualificationsMatric or equivalent secondary education.Project Management experience.3+ years' experience within a similar role.Resolution management skills.Data interpretation skills.Package & RemunerationMarket related
