We are seeking a highly organized and detail-oriented IT Project Administrator to join our team. The ideal candidate will be responsible for supporting and coordinating IT projects, ensuring they are delivered on time and within scope. The IT Project Administrator will work closely with project managers, technical teams, and stakeholders to facilitate smooth project execution. Position Overview Specific Role Responsibilities Project Coordination: Assist project managers in planning, executing, and closing IT projects. Coordinate tasks, resources, and timelines to ensure project milestones are met.Documentation Management: Maintain accurate project documentation, including project plans, schedules, meeting minutes, and reports. Ensure documentation is up-to-date and accessible to relevant stakeholders.Communication: Facilitate effective communication among project teams, stakeholders, and management. Keep all parties informed about project status, issues, and changes.Resource Allocation: Monitor resource availability and allocation to ensure efficient project execution. Collaborate with department leads to assign tasks appropriately.Risk Management: Identify potential project risks and assist in developing mitigation strategies. Track and manage risks throughout the project lifecycle.Quality Assurance: Ensure projects adhere to company standards and best practices. Perform quality checks on deliverables to maintain high-quality project outputs.Vendor Coordination: Coordinate with external vendors and contractors involved in projects. Ensure they meet project requirements and deadlines.Meeting Facilitation: Schedule and organize project meetings, workshops, and presentations. Prepare meeting agendas, document discussions, and distribute minutes.Continuous Improvement: Contribute to process improvement initiatives within the IT project management function. Identify areas for efficiency and effectiveness enhancement. Qualifications and Experience Project Management Certification – Advantageous2 years + of proven Project Administration experience assisting with multidisciplinary projects within the Information Technology spaceKnowledge of IT project lifecycle and methodologies Skills and Personal Attributes Strong organizational skills with the ability to manage multiple tasks and priorities.Good communication, collaboration, and team orientationStrong written and oral communication skills, excellent interpersonal skillsAttention to detail and commitment to delivering high-quality work.Problem-solving and critical-thinking abilities.
