Primary Purpose:
We are seeking a dedicated Product Coordinator to support the Associated Product Destination Managers across one of three specific regions: South Africa, Southern Africa, or East Africa. In this role, you will assist with maintaining supplier-related information within the Wilderness Window and ensure the accuracy of all data.
The primary focus of the Product Coordinator is to provide support during supplier workshops, presentations, and functions, as well as manage the creation of product newsletters, closure reports, and educational feedback reports. Additionally, you will be responsible for managing relationships with 3rd tier suppliers (categorized as 'other').
A strong knowledge of and excellent geographical understanding of all Southern and Eastern Africa regions is essential for success in this role.
This position offers the opportunity to work with a dynamic team in the travel industry, supporting the management and coordination of product offerings in diverse and exciting destinations across Southern and Eastern Africa. The successful incumbent would require a passion for travel, strong attention to detail and enjoy working in a fast-paced environment.
This position can be based in either Johannesburg or Cape Town.

Familiarisation Trips
Feedback forms follow up after trips
External Newsletter adding summarized feedback and images
Arrange feedback sessions with the group
Internal newsletter
Assist with updating & distribution of the internal newsletter

Complete brief to marketing
Complete General updates / Specials / Feedback from a field
Assist with content for features Wetu & Itrvl
Workshops, presentations & supplier functions
Invite selected suppliers and communicate workshop & presentation details.
Co-ordinate and run online workshops and product updates together with Product Destinations Manager.
Physical workshops and training sessions, responsible for the workshop setup, invites, communication with suppliers, timekeeping during the workshop and arranging for snacks together with Product Destinations Manager.
Attend presentations/workshops and gather information
Supplier function set up and invitation
SRM / Wilderness Window
To update and maintain supplier information with guidance from the AP team.
Create supplier login details & follow up with suppliers to update all information.
Track acceptance of DMC/Supplier agreements and implement follow-up process
Maintenance of AP documents under info centre in WW.
PI connections
To follow up with suppliers on API Connections in Wilderness Window and other areas of API connections.
Supplier closures & rate changes communication
Extract quotes and bookings based on rate changes
Communication changes and details internally with reservations
Finance
Follow up with finance on delayed supplier payments together with Product Manager.
Legal process
Follow up with Supplier on insurance documents/contracts
Follow up on insurance requirements with Tours/transfer supplier and approval from Legal Team
Supplier Relationships
Responsible for contracting, relationship building and maintenance of Wilderness Window for suppliers under the category "other"
Attending Supplier meetings
Skill Set - Qualifications - Experience:
Skill Set:
Good working knowledge of Excel.
Excellent communication skills and interpersonal skills.
Strong organizational and time management skills.
Ability to work with internal AP Product Buyers, Reservations Manager, RARA, Finance.
Ability to work with external AP Suppliers.
Proficiency in Microsoft Office suite.
Willingness to travel within designated region as needed.
Proven English literacy – read, write and speak fluently.
Qualifications / Experience:
Tertiary qualification in a relevant field.
5 or more years' experience in the travel & tourism industry with exposure to suppliers in Southern Africa preferably in operations or in product development.
Extensive product knowledge on Southern Africa. East Africa knowledge would be a bonus.
Experience in the travel and tourism industry preferred.
