PURPOSE OF POSITION: As a Procurement Specialist Mid, your purpose is to assume a leadership and mentorship role within our procurement team, driving strategic procurement initiatives and overseeing complex procurement projects. Your contributions are integral to our organisation's mission of optimising costs, enhancing supplier and partner relationships, and maintaining procurement excellence.
KEY RESPONSIBILITIES: Transaction ManagementOwn the end-to-end transaction from customer order to fulfilment to invoice.Promptly review and action hardware and software opportunities and tickets.Generate quotes and deliver to stakeholders, ensuring correct costing.Generate purchase orders by verifying part numbers and values.Ensure timely delivery and installation processes.Create and process invoices on time.Process relevant credit queries.Conduct research on hardware, software, and licensing products. Order TrackingCo-ordinate tracking supplier invoices and proof of deliveries (PODs).Manage tracking of orders to ensure timely receipt.Collaborate with the procurement team to resolve outstanding issues.Engage in customer invoice dispute resolution.Collaborate with customers for timely payment. Expectation ManagementEnsure stakeholders are kept up to date with all activities.Provide accurate ETAs for products.Cultivate key stakeholder relationships.Coordinate the distribution of licenses.Store client documentation under relevant client folders. Vendor ManagementFollow up with requests from internal and vendor inquiries.Maintain vendor relations by resolving problems.Assist in maintaining relationships with existing suppliers.Secure favorable pricing through negotiations.Continuously monitor vendor offerings. Proactive Client EngagementEngage with customers to ensure their needs are met.Conduct research on hardware and software products.Process and execute hardware and software renewals.Maintain a strong focus on customer satisfaction. Advisory and Partnership function:Develop expertise in at least two strategic areas.Ensure the Procurement leader has necessary information.Share knowledge with the Cyberlogic team.Manage the renewal process for clients.Provide insight to improve procurement processes.Update pricelists from partners and vendors. Ticket Coordination:Assist in the assignment of procurement-related tickets.Collaborate with other teams to prioritize requests.Assist in obtaining quotes for repair services.Coordinate procurement of necessary parts or services. Team CollaborationWork closely with the procurement team and other departments.Participate in team meetings.Assist in coordinating with cross-functional teams.Promote a culture of teamwork. BENEFICIAL REQUIREMENTS: Microsoft 365 certifications.Microsoft Azure certification.IT Service Management (ITIL v4 Foundation).
