Procurement Manager - Wine Industry Our client, one of the largest wine cellars in the Stellenbosch area, is looking for a Procurement Manager to join their team. This key role ensures the efficient procurement of raw materials at the best cost, manages production scheduling, and ensures timely delivery to meet operational requirements. The successful candidate will play an integral part in optimizing purchasing processes, maintaining strong supplier relationships, and ensuring accurate documentation and reporting. Main Purpose of the Role : The Procurement Manager will be responsible for overseeing all aspects of the purchasing and supply management process, ensuring the timely and cost-effective acquisition of materials for bottling production. This role involves managing supplier relationships, internal communications, and production schedules, while ensuring compliance with quality standards and safety protocols. You will also be responsible for maintaining up-to-date information on SAGE and providing analytical support to improve operational efficiencies. Key Responsibilities : 1. Purchasing & Supply Management : Oversee and manage the entire purchasing process for bottling production raw materials, ensuring all requirements are met on time and within budget. Maintain strong relationships with suppliers, ensuring that all materials meet the required quality and safety standards. Supervise the procurement team, ensuring timely and accurate arrival of materials, and adherence to Food Safety and Quality Assurance standards. Ensure all raw material documentation (e.g., purchase requisitions, purchase orders) is accurate and up to date in the SAGE system. Regularly communicate with internal departments to keep them informed of purchasing order progress and delivery changes. Maintain and update an accurate Price List Database and filing system. Lead annual supplier price negotiations, ensuring competitive pricing and timely rebate calculations. Monitor supplier performance through regular reviews and annual performance ratings. Work with the New Product Development (NPD) team to facilitate vintage and specification changes while meeting required shipment deadlines. 2. Production Scheduling : Manage the process of receiving orders and instructions for bottling from clients, ensuring all documentation is in place. Develop and implement production plans for OWS and 3rd Party Bottling based on orders received, maximizing production efficiency. Coordinate with the Production Manager and team to ensure bottling progress is on track and in line with the production plan. Ensure that 3rd Party Bottling orders are processed accurately in terms of quantity, specifications, and timelines. 3. People Management : Supervise and provide guidance to procurement and production staff, ensuring effective communication and resolving any escalated issues. Manage staff performance, providing feedback and identifying training needs. 4. Analysis & Reporting : Monitor and investigate issues related to rework, deviation, customer complaints, and corrective action reports (CAR). Take minutes at production meetings and ensure action logs are distributed in a timely manner. Provide regular feedback to the production team regarding order status, including potential delivery delays. Monitor stock levels of dry goods, and ensure that inventory movements are accurately recorded in the SAGE system. Assist with monthly stock-taking reconciliations and maintain a Stock Loss Analysis Report. Ensure the timely update of SLA, KPI, and Mini-Business QCDSM Matrix reports. Submit accurate Time & Attendance reports as required. 5. Quality Management Systems, Health, Safety & Housekeeping : Adhere to QMS standards and procedures, ensuring compliance with GMP protocols. Maintain high standards of housekeeping and cleanliness in all areas of responsibility. Ensure compliance with company and statutory policies and procedures, especially in health, safety, and environmental matters. Education & Qualifications : Matric/Grade 12 is essential. A tertiary qualification in Procurement , ideally within an FMCG environment, is highly preferred. Knowledge and Skills : Proficient in MS Office , Advanced Excel , and SAGE . Strong analytical, problem-solving, and administrative skills. Excellent verbal and written communication skills in English . In-depth knowledge of Supply Chain processes and a keen understanding of the wine industry . Strong numerical skills and the ability to manage large volumes of data. Ability to manage multiple priorities while maintaining attention to detail. Other Competencies : High energy, dynamic, and driven individual.
