Practice Manager Job DescriptionAs the Practice Manager, you will work closely with the CEO/EXCO to maintain a positive and professional environment, ensuring that each department performs its rudimentary functions at a high quality while tracking the firm's strategic objectives. The ideal candidate will have strong leadership skills and excellent communication abilities.You will be responsible for the overall management and oversight of the legal business services departments. This may include developing and implementing policies, procedures, and standards governing the department's operations, monitoring and evaluating the department's performance, and resolving any conflicts or complaints.RESPONSIBLE AREAS:Financial Management: managing the financial aspects of the firm, including budgeting, financial reporting, and billing processes. The role often includes working closely with the finance team to ensure compliance with financial regulations and monitor the firm's financial health.Human Resources: overseeing the recruitment, onboarding, and performance evaluation processes for legal staff with the HR team.Office Operations: overseeing the day-to-day operational aspects of the firm, such as office management, facilities, and technology, ensuring that the firm has the necessary resources and infrastructure to support its operations.Client Relations: maintaining and enhancing client relationships. This can involve managing client communication, addressing concerns, and ensuring that clients receive high-quality services.Compliance: making sure that the firm complies with all relevant laws, regulations, and ethical standards. This includes overseeing compliance with industry regulations and codes of conduct.Technology and Information Management: overseeing the adoption and utilization of technology tools and software within the firm to streamline processes, improve efficiency, and enhance client service. They may also be responsible for data management and information security.Risk Management: identifying and mitigating potential risks to the firm, such as legal malpractice risks or cybersecurity threats, is an important aspect of their role.Administrative Support: overseeing administrative functions and ensuring that they meet their obligations.Marketing and Business Development: Monitoring and measuring marketing and business development efforts to attract new clients and grow the firm's client base.KEY RESPONSIBILITIES:Oversee rudimentary functions of all business functions and teams.Lead cross-functional teams to drive continuous improvement and innovation in operations processes.Ability to spot opportunities and identify weaknesses within the Firm.Drive implementation of Firm policies and procedures to ensure efficiency and compliance.Track, monitor, and update projects.Develop and monitor the practice budget per team ensuring financial sustainability.Oversee billing and collections process.Identify opportunities for cost saving and revenue enhancements.Address business concerns in a timely manner.Collaborate with senior management to identify and mitigate operational risks that could impact the company's performance.MINIMUM REQUIREMENTS:Bachelor's degree in Administration or Business Management.Minimum of 8+ years in professional services.Strong leadership and interpersonal skills.Excellent organizational and problem-solving skills.Salary – Negotiable (depending on experience)
