Personal Assistant To Chairman / Office Manager /Pa

KEY DELIVERABLES To act as a first point of contact dealing with correspondence and phone calls for the Chairman To provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the Chairman To proactively manage and coordinate the diary of the Chairman by prioritising and arranging internal and external meetings, ensuring appropriate documents are prepared and provided controlling access to the Chairman Plan and organise local and international travel and accommodation inclusive of transport arrangements when required Draft and maintain the Chairmans Annual Calendar Maintain effective filling system including emails ensuring that the documents are easily accessible to the Chairman To provide support for Executive, Board Sub Committees and Board Meetings by ensuring these meetings are set up timeously and logistics are arranged prior to meetings To plan and manage key organisational events such as the Strategy meetings as required To assist the Chairman with Conference presentations and company presentations as required Undertake any other appropriate duties as required to support the Chairman to enable him to fulfil his role Carry out all the duties with complete discretion and a high regard for confidentiality Any other duties relevant to the needs of the organisation and as directed SPECIFIC KNOWLEDGE AND SKILLS Discretion and trustworthiness: you will often be party of confidential information Tact and diplomacy Computer literate Microsoft Office (intermediate); Excel; PowerPoint Organizational skills (ability to plan, delegate and organize within defined timelines). Presentation skills Excellent written and verbal communication skills Ability to pay attention to detail and to multitask Ability to work flexibly and occasionally after hours MINIMUM REQUIREMENTS Matric Relevant Diploma or Degree Valid drivers license Must have 8 years experience Paralegal will be highly advantageous
