Ozow is looking for a Personal Assistant to provide support to the CEO and Exec utive Management Assistant by effectively managing schedules and performing a variety of responsibilities, including complex and confidential administrative and secretarial duties. The duties performed require considerable confidentiality, initiative, tact, maturity, and independent judgement.
We are seeking a proactive and dedicated Personal Assistant to support the CEO and the Executive Management Assistant in managing the demands of both professional and personal responsibilities. The ideal candidate will be a crucial support system, adept at anticipating needs and ensuring a seamless balance between work and personal life. You will need to be one step ahead of the CEO when it comes to personal arrangements such as frequent after hour engagements, arrangements, etc. When considering his work life, you will be required to manage the CEO's schedule, from in office and external meetings, to international travel and importantly engage with high level stakeholders throughout, under supervision of the Executive Management Assistant. You will assist the Executive Management Assistant in ensuring the CEO can concentrate on critical details by aiding with research, reporting, and presentation preparations.
Assist the Executive Management Assistant to manage CEO time efficiently, including handling emails, preparing documents, and organizing meetings. Be responsible for comprehensive calendar management for various meetings, events, and travel across multiple time zones. Support the Executive Management Assistant to maintain business rhythms through effective agenda management, meticulous notetaking, and handling logistics while tracking results and meeting time critical targets. Coordinate and organize logistics for various meetings, conferences, and special events. Handle expense reports and manage purchase orders as needed. Handle sensitive information with the utmost confidentiality and discretion. Provide administrative and support to support the CEO in his personal capacity as needed, which will include being available after hours and on weekends to act on urgent requests.
