Purpose of Job The Personal Assistant will provide day-to-day operational support and secretarial/administration assistance to the SVP/VP of the Mining division.
This role acts as the manager's first point of contact with both internal and external stakeholders, coordinating business functions including personnel administration, office coordination, and budget monitoring.
The PA will ensure effective management of the SVP/VP's email, diary, and administrative tasks, supporting seamless communication and scheduling.
Key Accountabilities Diary & Meeting Coordination : Manage and prioritize the SVP/VP's diary/calendar, scheduling meetings and ensuring availability of stakeholders.
Resolve scheduling conflicts and ensure meetings occur within timelines.
Secretarial Support : Handle phone calls, take messages, schedule appointments, and handle routine correspondence like letters, reports, and minutes.
Project & Document Management : Manage office records, reports, and correspondence.
Proofread prepared materials and assist with data reconciliation for management reports.
Travel & Logistics : Organize venue, travel, and accommodation arrangements (both locally and internationally), ensuring logistics for meetings are smoothly managed.
Financial Monitoring : Monitor the office budget and expenses, report trends, and control supplies and stationery.
Communication & Relationship Building : Build and maintain strong relationships with internal and external stakeholders through effective written and verbal communication.
Team Support : Assist other PAs with systems, processes, and responding to internal queries in a timely manner.
Requirements Education and Experience Formal Education : Grade 12 Higher Certificate or Diploma in Administration or a similar qualification.
Experience : A minimum of 3 years' relevant experience in administrative support, preferably in a corporate or mining environment.
Required Skills Communication : Strong ability to communicate effectively at all levels, both in writing and verbally.
Action Planning & Organization : Ability to plan, organize, and manage tasks efficiently.
Attention to Detail : A keen eye for detail in all tasks, particularly in documentation and scheduling.
Multi-tasking : Ability to handle multiple tasks and prioritize work effectively.
Accountability : Ensure accountability for the tasks at hand and adhere to deadlines.
