The Ideal Candidate: We are looking for a high-performing, skilled and reliable Personal Assistant with experience in a law firm or similar legal environment. In particular, knowledge of and experience in small or medium sized law firms will be preferred.
The ideal candidate must be a self-starting individual who works independently while being able to take instructions and assist the Director as needed. The candidate will be responsible for providing executive, secretarial and administrative support to the Director.
Delivering work of a high-quality standard while managing competing deadlines in a fast-paced work environment. Typing, editing, proofreading and finalising documents. Diary Management – Implementing effective telephone call management and other work communication practices. Preparing correspondence, legal documentation and reports on legal research. Compiling and preparing tender submissions. Preparing legal memoranda. Organising and attending board meetings with Director . Drafting minutes of meetings. Updating matter files promptly and keeping a written record of the life cycle of each file. Copying, scanning, and faxing documents, as well as taking notes. Ordering office supplies and replacements, as well as managing mail and courier services. Liaising with clients, counsel and opposing attorneys via email, telephone or in physical meetings. Preparing facilities for scheduled events/meetings and arranging refreshments, if required. Ad-hoc assistance and general office administration. Following up on payment of invoices. Skills Required: Work independently and take initiative . Possess strong administrative, organisational and communication skills. Work well and accurately under pressure. Sound knowledge of the Microsoft Office suite. Knowledge of AJS will be an added advantage. Qualifications and experience required: Paralegal certificate or related legal studies would be advantageous. Minimum 5 – 8 years' experience in the legal industry (non-negotiable) . Remuneration package Salary will be commensurate to the candidate's work experience.
