Key Responsibilities: Reception: Provide a warm and professional welcome to all visitors and clients, ensuring a positive first impression.Maintain the reception area and meeting rooms, keeping them tidy and presentable at all times.Manage mail, deliveries, and couriers, ensuring efficient distribution and dispatch.Offer ad-hoc support to teams across the business, including PA assistance for the CEO and senior management.Office Management: Liaise with landlords and agents to ensure building maintenance is carried out promptly, including emergencies.Manage cleaning staff, office supplies procurement, and stock control, securing the best value for Ten.Oversee office security, including access control and staff ID pass administration, ensuring a secure environment.Conduct regular office security and health & safety checks, ensuring compliance with company policies.Maintain clear records of office management processes and liaise with various teams to ensure smooth operations.Health & Safety: Conduct health and safety inductions for new starters and visitors, ensuring adherence to H&S policies.Manage fire safety and first aid training, ensuring adequate staff coverage.Maintain an up-to-date accident book and review near-miss incidents, implementing preventive measures.People Experience Support: Coordinate background checks and manage employee celebrations such as 'Tenniversaries' and milestone events.Organize social treats for employees and plan the annual office party, ensuring a vibrant office culture.This position is office bound (100%) and would require the candidate to be in the Cape Town office.Education & Experience: A pass in high school / secondary school level qualification in English and Math.Bachelor Degree in fields such as Business Administration, Management, Human Resources, Office Administration, or Facilities Management are commonly preferred.5–10 years of relevant experience, including leadership in office management, team coordination, and facility management.Knowledge & Skills: A role model for our core values: Member Focused, Trustworthy, and Pioneering.Highly organized with excellent time management and multitasking abilities.Strong verbal and written communication in advanced English.Problem-solver with the ability to handle unexpected situations calmly and effectively.Adaptable, approachable, and enthusiastic about fostering a positive work environment.High emotional intelligence for resolving conflicts, supporting employees, and maintaining a positive office culture.Maintenance coordination: Ability to oversee the maintenance of office facilities, ensuring a safe and functional work environment.Knowledge of Health & Safety Compliance: Understanding of local safety regulations.Emergency preparedness: Managing fire drills, evacuation plans, and ensuring emergency equipment is properly maintained.Financial Acumen: Experience managing budgets, expenses, and procurement related to office operations.To find out more about Ten, please watch this short video This is what we Do!
