Main Purpose of the JobThe role of the Payroll Officer is to provide payroll and HR support to Remuneration and HR Systems Manager SSA within ALS Chemex.
The Payroll Officer must ensure the smooth running of the payroll for region.
Position in the OrganisationThe Payroll Officer will be based in ALS Chemex SA Head Office in Johannesburg and will report to the Regional HR Manager SSA.
Compliance Practice the ALS Health and Safety Foundation Standards•Practice the ALS company core valuesAbide by the ALS company policies and proceduresAbide by local legislative requirements at all times PayrollUpdate and maintain the company payroll for Sub Sahara Africa on PaySpaceEnsure staff is paid correctly and timeouslyUpload and maintain employee data on PaySpaceRespond to payroll queries from the various sites timeouslyAssist staff with payroll queries and advice on UIF, taxes and leaveTrain employees on the ESS systemProcess and audit leave dataMonitor and administer the company benefits i.e.
Provident / Pension Fund, IEMASTimeous preparation and payments of all 3rd parties as per country specific legislationPreparation of monthly and annual reconciliationsCompletion of monthly payrolls for ALS laboratories across Sub Sahara AfricaEnsure correct allocation of staff costs to general ledger accountsCapture employee information regarding Employment Equity on Payspace accuratelyAssist HR on salary and benefit calculationsDevelop personnel record keeping systems and implement across Region AuditsResponsible for statutory requirements, Tax, Social SecurityEnsure company compliance for auditing purposesPrepare for the annual financial audit and files thereofAudit sites to ensure that the payroll comply with legislative requirementEnsure all year end processes are timeously submittedAdhere to all year-end financial procedures ReportsAssist with the collation of quarterly statistic and skills and equity report submissionCreate additional analyses and reports as requested by managementCompile key business metrics and report on them to managementAssist with future tender packs to ensure the budget allocated compensates for the cost and revenue of the companyAssist with the BBBEE reportAssist with the EE and WSPATR reportSubmission of UIF and PAYE and other African region statutory reports Risk MitigationAlert the Management to key emerging risk areasMake input to improve risk mitigation strategiesActively participate in crisis management activities as and when required SystemsCreating and maintaining employee data on ERS systemMaintaining employee time sheets / schedulingCreating and maintaining ALStar user accountsCreating and maintaining IT user accounts GeneralEnsure the security of the office at all timesPrepare employee induction and exit packs, including arranging entry, annual and exit medicalsCreate new employee filesAssist with general HR administrationAssist with general HR filingAssist general maintenance, ordering stationeryManage the office lease agreements and office maintenanceBe part of the organisation's company function committee assisting in planning and roll outGeneral office communication and queriesAdhoc travel and overtime will be required depending on business needs Behavioral CompetenciesGood interpersonal, planning and communication skills.Maintain staff confidentiality.Highly organised and flexibleSound decision making and problem solving and preventive measures.Demonstrates accountability and a team player.Ability to investigate, resolve and respond to queriesInspires and drives excellence in all aspects of work.

QualificationsA bachelors degree in Accounting / Human Resource Management or equivalent qualificationMinimum of three to five years' experience in payroll fieldPreferable experience in remuneration and benefitsKnowledge of PaySpace payroll system is an advantageMicrosoft Word, Excel, Power Point, Outlook, Internet ExploreFluent English (written and spoken)
