Reports To: Operations Manager & Deputy Operations ManagerJob Overview: A Payroll & HR Clerk is responsible for ensuring that all employees within our organization are paid accurately and timely.
This position aims to streamline processes to assist Management.The following list includes your duties and responsibilities; however, it is not exhaustive, and ad hoc duties may be requested by Management.
Confidentiality must always be maintained.Duties: PayrollAdministration of Payroll for Salaries & Wages (6 Service Companies).Assist with all Payroll-related queries.Administrator of the HR Mobile Phone for all absenteeism and updates on Microsoft Teams for relevant Line Manager/Supervisor/Management.Administration of Provident Fund, Funeral Scheme, Disability Fund, Life Insurance, and Beneficiary Forms.Liaise with the Provident Fund administrator on any concerns/requests.Administration of Long Service Award.Daily capturing of Short time/Unpaid days once approved on the payroll system.Ensure ERS Bio system and Psiber system accurately match for all payments, deductions, and leave types.Psiber System:Accurately load wages and salaries to Netcash.Daily accurate capturing of Annual Leave, Sick Leave, IOD leave, and Family Responsibility leave on Psiber.Export UIF Contribution Report (Salaries and Wages) and submit to the labour department monthly.Prepare payroll-related reports for approval and verification, fortnightly and monthly, and ad hoc requests from management.Completion of all UIF documents for all terminated and maternity staff.Monthly accurate capturing of commissions.Capturing of all new employee onboarding.Updating of the system daily for any changes, such as personal information.Setup ESS for all new staff and assist current staff with queries.ERS Biometric Clocking System:Daily exception report updates – get approval from Operations/Deputy Manager for all overtime/unpaid leave/short time/deductions etc.Daily accurate capturing of Annual Leave, Sick Leave, IOD leave, and Family Responsibility leave.Terminations of employees.Various reports on request from management.Human ResourcesFirst point of contact for all HR-related queries.Preparation of Evidence files for disciplinary hearings.Preparation of Evidence files for CCMA cases.Implementation and Training for all new and existing employees on Company Policies and Procedures.Ensuring Process Flows are completed and signed by the relevant departments.Setup interviews and conduct reference checks, background, and criminal checks prior to employment.Daily scanning of documents and filing in relevant files on OneDrive.Ensure that all new staff members complete all relevant documentation for onboarding, i.e.
personal information form, indemnity forms, orientation, job description, etc.Liaise with relevant supervisors regarding termination or renewal of fixed-term contracts.Ad hocEnsure updated staff list is sent to the Receptionist and Operations Assistant the first week of each month.Compile warnings as instructed by Management.Ensure calendar reminders are set for all items that require renewals, updates, or management advisories.Perform any other reasonable work-related tasks as assigned by management.Required Knowledge / Skills / Job Qualifications and Ability:2-3 years' experience as a Payroll & HR Clerk.Experience with payroll systems.Matric/Grade 12 with a Certificate in Payroll/Human Resources or a related field.Program knowledge of:Psiber System (Advantageous) or similar Payroll System.ERS Bio (Advantageous) or similar T&A System.Computer literate.Familiar with all statutory requirements by law.Exceptional organizational skills with keen attention to detail.Able to work efficiently under pressure and meet deadlines.Excellent written and verbal communication skills in English.Strong communication skills and ability to maintain confidentiality.Excellent knowledge of all acts pertaining to Employment, including but not limited to UIF, LRA, BCEA, EE, COID acts.Job Type: Full-timeIf you are a proactive individual with a passion for payroll and human resources, we encourage you to apply for this opportunity to join our team.Education:Certificate (Required)Experience:Payroll & HR experience: 2 years (Required)
