COMPANY DESCRIPTION: Our client is a South African pharmaceutical benefits management (PBM) organization specializing in electronic claims processing and the management of medicine benefits. They are looking for a Payroll and HR Administrator to join their team.
JOB DESCRIPTION (PURPOSE): Manage the end-to-end payroll and related accounting function for all employees on the payroll system. Ensure efficient provision of HR administration (including recruitment, benefit management, and payroll processing services). Ensure payroll payments and approvals comply with legislation, company policies, and procedures. Maintain employee HR records (physical and virtual) including leave management. Bring experience as a customer-focused HR/payroll professional with a keen eye for detail and the ability to optimize systems and processes. Exhibit strong organizational skills and a thorough understanding of payroll regulations and procedures. MAIN DUTIES & RESPONSIBILITIES: Recruitment and Selection Assist with recruitment and onboarding, including posting job openings, scheduling interviews, conducting risk & reference checks, and facilitating new hire orientations. Draft internal and external adverts using job descriptions with input from the line manager & HR Manager. Place internal advertisements and send external adverts to recruitment agencies when applicable. Draft letters of employment and ensure all necessary documentation is completed for onboarding. HR Administration Draft transfer letters, promotion letters, and amended contracts for employees. Ensure relevant paperwork is completed for appointments, terminations, and any movements. Administer company benefits and manage related documentation. Resolve employee queries and maintain employee files. Provide support for all HR Projects and Initiatives. Reporting and Systems Prepare monthly payroll and compliance reports. Maintain employee information on HR and payroll systems. Prepare and submit ad hoc reports as requested by management. Compensation – Payroll Processing Accurately process payroll and related functions on a monthly basis. Ensure timely processing of payroll updates including new hires and terminations. Administer the leave system and ensure compliance with policy. Prepare and submit payment requisitions for payroll-related external payments. Compliance – SARS Process Mid-Year Tax and Year-End submissions to SARS. Responsible for EMP201 submissions. Compliance – Audits Conduct regular audits to ensure accuracy of payroll data. Liaise with external auditors and prepare records for annual audits. EDUCATIONAL REQUIREMENTS: Grade 12 Payroll and/or HR Qualification PaySpace Payroll System Course (advantageous) EXPERIENCE AND SKILLS REQUIRED: At least 3 years' experience in HR Generalist or HR/IR admin. Min 3 years' experience on PaySpace. Basic accounting knowledge and understanding of African payroll. Knowledge of payroll principles, practices, and statutory requirements. Sound knowledge of South African Labour Law. Excellent numerical and analytical aptitude. Intermediate MS Office skills, especially Excel. Customer-focused approach and high level of integrity.
