The Purpose of this Position: The successful candidate will be responsible for the direct management of the Parts Department. This includes accountability for inbound and outbound freight, as well as adherence to legislative, safety, and organizational policies and procedures. The Parts Manager will accomplish effective logistical oversight through strong leadership and decision-making skills. Exceed agreed/budgeted profit margins and increase market share through a well-developed and motivated Parts Team.
Responsibilities: Achieve an acceptable market share through maximizing sales of parts to trade and distribution to customers.Plan, manage, and monitor the implementation of governance, compliance, integrity, and ethics.Ensure processes are in place to identify and manage risk and expose liabilities.Plan and manage financial activities in line with approved policies, processes, and procedures.Manage, identify, and address customer needs by providing a variety of related parts, products, and accessories to enhance satisfaction and retention of customers.Implement people resource planning in line with delivery, performance objectives, and budget.Coordinate and monitor the sales and marketing activities of parts, products, and accessories for delivering against planned initiatives.Ensure all production orders are shipped to customers in a timely manner in adherence to delivery schedules.Communicate all delays or variances in inbound/outbound freight to the appropriate parties.Update and send out an ETA listing to all regions weekly.Maintain strict control over inventory levels to meet internal and external demand for the product.Follow up on all open orders and backorders regularly.Ensure parts information on Autoline is kept up to date and accurate.Ensure that the Autoline price file is updated when suppliers and OEMs adjust their pricing, or if the ROE goes above the factored rate.Plan warehouse layout and space requirements to prevent loss or damage and to achieve full warehouse optimization.Consider full implications of freight turnover, size, weight, and other factors when allocating warehouse space.Manage annual returns to OEMs.Manage creation of all SDRs and follow up until credit note received.Ensure that the credit process is adhered to and approve all credit requests for the Parts Department.Enforce company policies regarding security and safety to maintain a safe working environment.Supervise a team of warehouse employees.Identify and resolve all issues in the department and ensure achievement of all short and long-term objectives.Assist with recruitment paperwork and processes for the department.Investigate causes of lost or damaged shipments and other matters, adjusting where necessary.Maintain close working relations and communication with the Service Management Team.Conduct customer visits when necessary.Skills/Qualifications: Matric / Grade 12 required.Related Diploma in parts management.3 years Management Experience.Proficiency in Microsoft Office (Word, Excel, Outlook).Autoline experience.Minimum 5 years or more relevant working experience.Ability to communicate effectively – both written and verbal.Ability to cope under pressure and troubleshoot where necessary.Trustworthy and honest.Accuracy in execution.Attention to detail.Self-motivated.Be a team player as well as be able to work independently.Time management.Accountability and dependability.Own, reliable transport is essential.NOTE: This job description is not intended to be all-inclusive.
