Job Description POSITION OBJECTIVES Monitor security and security equipment of premises.
Personnel safety.
Asset management and record keeping.
Assist Warehouse Manager with maintenance of buildings and premises.
Standardising of company logo, email signatures, presentations, letterhead and marketing material.
Perform Reception and Switchboard duties.
Keep records of all maintenance contracts, warranties and guarantees.
Personal assistant duties for Directors as and when required.
Ensure data integrity in the ERP system and assist users with any problems.
Management of company travel spend.
Assist the Operations Manager with the management of the company IT system, telephone system, all software programs in use and asset register of all equipment purchased.
ESSENTIAL WORK ACTIVITIES Office Management Act as back-up to Manager in performing business operations duties.
Provide support to Operations Manager as and when required.
Coordinate with Manager to schedule Team meetings and to provide follow-ups.
Support the Manager in managing and resolving operational issues.
Work with Manager to provide excellent customer service.
Store, file and retrieve corporate documents and reports as and when needed.
Manage all office orders on a regular basis. Order, store and organize all office supplies.
Perform general office administrative and clerical duties.
Maintain logs and spreadsheets for all office activities.
In liaison with the Operations Manager and Directors, ensure that security and maintenance for premises are maintained.
Act as Safety liaison for all staff and monitor adherence of staff to Holler Trade's safety policy.
Manage company assets such as Laptops, Corporate Gifts, furniture & fittings, IT equipment, etc.
Keep record of all company licencing i.e.
Export license, TV licence, and any other.
Answering phone calls and redirecting phone calls, taking messages, etc.
Taking minutes during meetings.
Manage Leave Diary and Operations Diary.
Purchasing and management of consumables, stationary, marketing materials and maintenance equipment.
Assist with Epic data entry.
Qualifications Matric / Senior school certificate.
Diploma in Office Administration.
Additional Information SKILLS REQUIRED: At least 5 years' experience as an office administrator.
Computer literacy, Office 365 applications in particular (advanced level) and previous experience working on ERP systems.
Excellent organisational skills, with an ability to prioritize important projects.
Project management.
Strong phone, email and verbal communication skills in both English and Afrikaans.
Multitasking abilities.
Good writing skills in business English.
Strong typing skills.
Time Management.
