Job Description We are seeking a highly motivated and organized Executive Assistant to support our senior executive team. The ideal candidate will be a proactive individual with exceptional organizational skills, capable of managing multiple priorities with a high level of discretion and professionalism.
Job Description Summary This role provides executive assistant support to executive members and is individually accountable for achieving results through own efforts.
Responsibilities In general, accountable for the executive assistant support to executive members/senior managers.Builds and maintains relationships with executives and senior management.Coordinates resources to gather information for reports.Assists with the preparation of presentations and other documentation for Management Committees.Coordinates the preparation and distribution of Management Committees, EXCO and Board packs.Strong focus on dealing with escalated queries from clients, customers and other stakeholders (with potential for brand damage).Often accountable for the resolution of escalations without the involvement of the senior manager.Strong understanding of the business and associated OMF structure.Act as an ambassador for the Business.Prepare and coordinate agendas, minutes and matters arising for Management Committees.Manage and maintain executive schedules, including appointments and meetings.Responsible for arranging travel plans and itineraries, and compiles documents for travel-related meetings.Act as a liaison between the executive team and internal/external stakeholders.Perform other related duties as required.Minimum Requirements Diploma and/or equivalent Tertiary Qualifications.Bachelor's Degree advantageous.Financial Services Industry Experience.5 Years executive assistant experience in an administrative role reporting directly to EXCO.Advanced level of business acumen.Previous experience in compiling board and management committee packs.Advanced Microsoft Office skills.Proficiency with office productivity tools and an aptitude for learning new software and systems.Advanced skills in minute taking and developing non-standard reports, minutes, presentations and correspondence.Time management skills.Ability to work independently and as part of a team.Attention to detail and problem-solving skills.Excellent verbal and written communication skills.Strong organizational and multitasking abilities.Personal AttributesHigh level of professionalism and integrity.Proactive and self-motivated.Strong interpersonal skills.Ability to handle pressure and meet tight deadlines.Discreet and trustworthy.Closing Date: 21 October 2024
