Your:National Senior Certificate (Grade 12 or Matric);Minimum of 3 years reception, administration and front office role; andPrevious front desk manager or front desk supervisor experience (preferred);will enable you to:Office maintenance and Facilities (30%):Supervise and co-ordinate the operational maintenance of office including but not limited to parking allocations, access tag and remote controls, alarm system and changing of bulbs, generator assistance and general building maintenance;Manage and direct all office and premises maintenance issues and arrange for repairs.Operational Support (60%):Monitor stock and order office supplies (beverages and cleaning material);Ordering of all groceries for the office;Ensure that Receptionist has arranged all couriers;Co-ordinate with the office cleaners to prepare the boardrooms for meetings;Monitor the day-to-day activities of the reception staff and office cleaners;Booking and coordinating of travel arrangements which include (flights, accommodation and car rental);Capturing of invoices on SAGE X3;Ensure all subordinates have performance contracts and conduct performance evaluations;Manage correspondence, complaints and queries;Encourage a healthy and productive work environment;Manage all staff reporting to the Office Manager.Reception and Boardroom (10%):Supports the receptionist with reception activities;Provide receptionist support when needed by operating the switchboard, promptly and courteously answering incoming calls, assessing caller requirements, transferring calls, and ensuring messages are accurately relayed to the appropriate staff members in a timely manner;Support the receptionist to ensure equipment in the reception area and all boardrooms are functioning;Responsible for the opening and closing of office daily;Coordinate with the telephone system provider to address any technical issues with the phones and implement necessary changes to the system as required.
